ABOUT ESPERANZA
CPLC CARF accredited Centro Esperanza offers specialized services for SMI populations focusing on case management and psychiatric services. We provide trauma-informed support tailored to individual needs supporting the people we serve recovery journey.

OBJECTIVE AND POSITION SUMMARY
The Office Assistant is responsible for managing the front office at CPLC’s Centro Esperanza SMI outpatient program, in partnership with the Office Manager. Works as a member of the team to ensure that efficient and effective services are provided to the client. Any direct clinical services provided are incidental to the primary responsibilities of the role. Serves as community liaison and Centro Esperanza representative as assigned.

PRIMARY DUTIES AND ESSENTIAL FUNCTIONS

  • Schedule member's appointments for both in person and telehealth appointments.
  • Add walk-in appointments to the scheduler.
  • Record no-show and appointment changes in the scheduler.
  • Complete daily appointment reminder calls.
  • Arrange transportation for clients as needed.
  • Complete record requests
  • Complete filing
  • Act as receptionist, greets clients upon arrival, receives/escorts visitors.
  • Engages with client as needed in providing information and resources.
  • Attend meetings as assigned or directed.
  • Answer and direct phone calls, emails, and other communications
  • Manage office supplies and place orders when needed
  • Support staff with administrative tasks such as photocopying, scanning, and printing
  • Maintain a clean, organized, and professional office environment
  • Perform other duties as assigned by clinic leadership.

MINIMUM QUALIFICATIONS AND COMPETENCIES

  • High school diploma or G.E.D. equivalent.
  • Some experience from which knowledge and skills can be utilized to perform general clerical work.
  • Able to obtain fingerprint clearance card.
  • Have excellent phone etiquette, and be customer service driven, and able to multi-task.
  • Must have written and verbal communications skills.
  • Able to work with minimum supervision, knowledge of MS Office (Work, Excel, Outlook, Access)

OTHER REQUIREMENTS

  • Experience and commitment to working with multiethnic, multicultural, low-income populations.
  • Excellent attention to detail, analytical, and problem-solving skills.
  • Demonstrated interpersonal and verbal and written communication skills.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook, especially Microsoft teams).
  • Excellent documentation skills
  • Proven ability to follow-up and meet deadlines.
  • Ability to multi-task and prioritize in order to balance the many responsibilities.
