About This Position

JOB SUMMARY:

Under specified supervision, performs routine clerical accounting functions, which may include recording and reporting complex financial transactions, reviewing accounting records, and preparing financial statements and reports. Positions in this class are flexibly staffed and are normally filled by advancement from level I or, when filled from the outside, require previous and directly related experience.


Accounting Clerk I:

Under general supervision, this is the entry-level class in the accounting clerk series. Incumbents entering the class have limited related work experience. The Accounting Clerk I performs routine clerical accounting duties. Incumbents are expected to exercise more independence and initiative as procedures and processes of assigned area of responsibility are learned.


Accounting Clerk II:

Under direction, this is the journey-level class in the accounting clerk series. The Accounting Clerk II performs moderately complex clerical accounting duties, requiring a working knowledge of generally accepted accounting principles and public agency accounting procedures. Requires a moderate degree of independent judgment.


Accounting Clerk III/Senior:

Under general direction, this is the lead/specialist level classification in the accounting clerk series. The Accounting Clerk III performs complex and specialized clerical accounting duties requiring a thorough knowledge of generally accepted accounting principles and public agency accounting procedures. Requires a high degree of independent judgment.


ESSENTIAL JOB FUNCTIONS:

  • Front office management to include answering the telephone and greeting the public.
  • Enters accounting data on computer, ledgers and other accounting records according to established methods and procedures
  • Checks computer reports for accuracy and completeness, and makes routine adjustments as necessary
  • Processes and prepares vouchers for payment
  • Files receipts, vouchers, billings and other materials according to established methods and procedures
  • Maintains a variety of records
  • Receives disbursements and other money, and makes deposits.
  • Types forms, billings, routine correspondence and other related items
  • Maintains efficient filing systems
  • Operates a variety of office equipment

Accounting Clerk II:

In addition to the duties above the Accounting Clerk II:

  • Compiles and tabulates data and balances accounting records
  • Reviews, verifies and corrects computer system accounting information
  • Maintains accounting summaries, statements of accounts, and may issue accounting reports
  • Maintains payroll records, checks attendance and time sheets, computes deductions and prepares payroll summaries
  • Trains and gives general direction to other employees, on occasion
  • May be assigned to specific county departments or accounting functions, which may add additional related duties
  • Provides general assistance to county departments in the areas of accounts payable, accounts receivable, purchasing and general ledger

Accounting Clerk III/Senior:

In addition to the duties above the Senior Accounting Clerk:

  • Prepares and reviews vendor invoices for payments, cash deposits, requisitions for purchase orders, A/R invoices and other clerical accounting transactions
  • Prepares various financial reports and projections of funds
  • Balances daily cash transactions and audit recaps
  • Prepares deposits and may reconcile bank statements
  • Works with information technology services to correct and improve computer information and reports
  • Provides assistance to other employees regarding accounting issues, policies, and procedures
  • Researches clerical accounting problems and recommends solutions to correct problems
  • May supervise, counsel, and evaluate the work of other employees and recommends personnel actions in the areas of hiring, discipline and termination
  • Directs, trains, organizes, reviews, and monitors the workflow of the office worker staff to ensure effectiveness and efficiency



GENERAL REQUIREMENTS:

  • Performs additional tasks as assigned, including filling in for other staff as necessary and/or required.
  • May be required to work alternate schedules and/or in other work locations.
  • Possess oral and written skills to communicate effectively, including but not limited to communicating actively, clearly, and regularly with supervisors and/or co-workers on all work-related topics.
  • Understands, observes, enforces, and complies with all County and Departmental policies, procedures, and protocols when performing job duties both on and off County premises.
  • Establishes and maintains professional working relationships with all County employees, customers, vendors, and community members.
  • May be required to effectively manage multiple projects, deal with stressful situations, and adapt to sudden and unexpected changes in work assignments.


OTHER REQUIREMENTS

  • Colorado Bureau of Investigation Proper System Usage Training within 30 days of hire.
  • Background check by employer during the hiring process


MINIMUM QUALIFICATIONS:

Any combination of experience and training that would likely provide the required knowledge and abilities may be qualifying.

Education/Experience:

  • Accounting Clerk I
  • A high school diploma, or equivalent
  • One year of clerical, accounting, or bookkeeping experience
  • Additional related education may count towards required experience
  • Accounting Clerk II
  • A high school diploma, or equivalent and two years of college level course work in accounting
  • Two years of experience in clerical accounting or bookkeeping
  • Any acceptable combination of education, training and experience that provides the above knowledge, abilities and skills that the County deems appropriate.
  • Senior Accounting Clerk
  • A high school diploma, or equivalent and two years of college level course work in accounting
  • Four years of experience in clerical accounting or bookkeeping
  • Candidates must meet the minimum required years of work experience.


Knowledge, Skills, and Abilities:

  • Accounting Clerk I:
  • Basic knowledge of bookkeeping principals and automated accounting systems, office practices and procedures.
  • Ability to maintain confidentiality.
  • Knowledge of modern office procedures and practices, including use of PC’s and word- processing, spreadsheet and database software
  • Skill in use of common office equipment.
  • Ability to make mathematical computations
  • Ability to work effectively with other employees and the public
  • Accounting Clerk II:
    In addition to the above:
  • Working knowledge of generally accepted accounting principles and modern office practices and procedures
  • Ability to accurately capture and present information contained in the County Budget, grant budgets, or other special funding budgets
  • Ability to correctly record and report the fiscal posture of various programs or departments and insure correct reimbursements where required
  • Moderate skill level in operating computers and office equipment
  • Knowledge of County organization and operations
  • Knowledge of administrative policies, rules and procedures
  • Ability to translate and implement various policies, rules, and procedures communicated from various sources.
  • Senior Accounting Clerk:
    In addition to the above:
  • Thorough knowledge of generally accepted accounting principles and modern office procedures
  • Strong skills in operating computers and office equipment
  • Ability to justify budget projections, requests, and make presentations
