About This Position

Position Description:

On-Site Position: Monday - Thursday (10 hour workdays) - 4 day workweek!

We’re seeking an Office Assistant to support the day-to-day operations of a dynamic office environment. In this role, you’ll serve as the first point of contact while ensuring the workplace runs smoothly, efficiently, and professionally. What You’ll Do

  • Serve as the front-line presence for the office, answering and routing phone calls professionally.
  • Welcome, greet, and assist employees, visitors, clients, and vendors—creating a positive first impression.
  • Provide administrative support to leadership and office staff, ensuring smooth daily operations.
  • Coordinate internal meetings, team lunches, and office events.
  • Manage company travel arrangements, including scheduling and logistics.
  • Maintain organized digital and physical filing systems to support compliance and accessibility.
  • Assist with onboarding new hires by preparing workspaces, materials, and office readiness.
  • Manage incoming and outgoing mail, deliveries, and packages.
  • Coordinate conference room scheduling and prepare meeting spaces, including AV setup and catering.
  • Monitor, track, and restock office supplies and inventory to ensure uninterrupted operations.
  • Support budget tracking for office-related expenses, including invoices, purchase orders, and expense reports.
  • Run occasional office-related errands as needed.
  • What We’re Looking For

    Education

  • High school diploma or equivalent (required)
  • Experience

  • One (1) year of administrative and/or office management experience (required)
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) (required)
  • Experience with Microsoft 365 and Concur (preferred)
  • Experience supporting office operations, scheduling, or coordination (preferred)
