Position Overview

We are seeking a polished, detail-oriented Special Events Coordinator to support and execute private dining and special events at The Driskill Grill. This role is focused on coordinating logistics, maintaining strong client communication, and ensuring seamless event execution in a fine dining environment.

What You'll Do

  • Coordinate private dining and special event bookings from inquiry to post-event follow-up
  • Serve as a primary point of contact for clients throughout the planning process
  • Prepare proposals, contracts, and Banquet Event Orders (BEOs)
  • Collaborate with culinary, beverage, and service teams to execute detailed event plans
  • Coordinate event logistics including floorplans, timelines, AV needs, rentals, and décor
  • Lead or assist in weekly BEO meetings and maintain a 10-day event outlook
  • Conduct site tours with professionalism, warmth, and brand alignment
  • Track deposits, payments, and final billing through Tripleseat and Toast
  • Support vendor coordination and inventory organization
  • Be present for event-day setup and execution, ensuring service standards are upheld
  • Maintain detailed and organized client records
  • Support achievement of sales goals and cross-promote MML properties when appropriate

Requirements

  • 1–3 years of event coordination, catering, or private dining experience (fine dining preferred)
  • Strong understanding of food & beverage operations and elevated service standards
  • Excellent organizational and time-management skills
  • Professional written and verbal communication skills
  • Familiarity with Tripleseat, Toast, OpenTable, or similar systems preferred
  • Ability to manage multiple events simultaneously with precision
  • Flexible schedule including evenings, weekends, and holidays
  • Poised, client-facing presence appropriate for a luxury hospitality environment

  • Moderate noise levels
