The Role
We are seeking a highly motivated and detail-oriented Medical Records Associate to join our team. The Medical Records Associate is responsible for managing and maintaining patient medical records in compliance with healthcare regulations and office policies. You will ensure the accuracy, completeness, and confidentiality of medical records while facilitating their efficient retrieval and storage.
What You'll Do:
- Organize, classify, and index patient medical records using electronic or paper-based systems.
- Ensure all records are accurately updated with relevant patient information, including diagnoses, treatments, and test results.
- Maintain strict confidentiality of patient information in accordance with HIPAA regulations.
- Input patient demographic and clinical data into electronic health records (EHR) systems with precision and attention to detail.
- Review medical records for completeness and accuracy, correcting any discrepancies as necessary.
- Prepare and scan documents into electronic databases, ensuring proper documentation storage and retrieval.
- Respond to requests for medical records from healthcare providers, insurance companies, and patients, adhering to established protocols for record release.
- Coordinate the timely retrieval and delivery of records to authorized personnel while maintaining confidentiality and privacy.
- Conduct regular audits of medical records to ensure compliance with regulatory standards and internal policies.
- Identify and rectify any inaccuracies or inconsistencies in documentation to maintain data integrity.
- Collaborate with healthcare providers, administrative staff, and other professionals to ensure accurate and efficient record-keeping practices.
- Assist with training new staff members in medical records procedures and software systems as needed.
Qualities That Make You A Great Fit:
- High school diploma or equivalent; associate's degree or certification in Health Information Management (HIM) preferred.
- Proficiency in electronic health records (EHR) software and medical coding systems (e.g., ICD-10, CPT).
- Strong attention to detail and organizational skills.
- Knowledge of medical terminology and healthcare regulations, including HIPAA.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and work effectively in a fast-paced environment.
Work Environment:
This role typically involves regular interaction with patients, healthcare providers, and administrative staff. No face to face patient encounters
Physical Requirements
- Requires filing, sitting and standing for long periods of time.
- Occasional stooping, bending, stretching, or moving items.
