Description:

Administrative/Clerical employees provide general office and administrative support to help ensure the efficient operation of the department and organization. This position performs a variety of clerical duties, including data entry, document preparation, recordkeeping, filing, answering telephones, responding to emails, scheduling, and assisting employees, customers, vendors, and visitors. The employee must be organized, dependable, professional, and capable of managing multiple assignments while maintaining accuracy and confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties may include, but are not limited to, the following:

  • Answer, screen, and direct incoming telephone calls.
  • Greet and assist customers, visitors, vendors, and employees.
  • Respond to routine emails, messages, and requests for information.
  • Prepare, type, format, proofread, copy, scan, and distribute documents.
  • Perform data entry and maintain accurate electronic and paper records.
  • Organize and maintain files, reports, forms, correspondence, and other documentation.
  • Schedule appointments, meetings, training sessions, and other activities.
  • Maintain calendars and communicate scheduling changes.
  • Receive, sort, distribute, and prepare incoming and outgoing mail and packages.
  • Assist with preparing reports, spreadsheets, presentations, and correspondence.
  • Enter and retrieve information using company software and computer systems.
  • Operate standard office equipment, including computers, telephones, printers, scanners, copiers, and postage equipment.
  • Assist with customer, employee, vendor, billing, purchasing, payroll, or accounting documentation as assigned.
  • Review documents and information for completeness and accuracy.
  • Follow up on missing information, documents, approvals, or signatures.
  • Maintain confidentiality of employee, customer, financial, and company information.
  • Communicate professionally with internal and external contacts.
  • Follow established company policies, procedures, and record-retention requirements.
  • Assist other departments with administrative projects as needed.
  • Maintain a clean, organized, and professional work area.
  • Perform other related duties as assigned.
Requirements:

WORKING CONDITIONS:

WORK IS PRIMARILY PERFORMED IN A CLIMATE-CONTROLLED OFFICE ENVIRONMENT. EMPLOYEEREGULARLY USES A COMPUTER, KEYBOARD, MOUSE, TELEPHONE, COPIER, SCANNER AND OTHERSTANDARD OFFICE EQUIPMENT. WORK MAY INVOLVE FREQUENT INTERACTION WITH EMPLOYEES,CUSTOMERS, VENDORS AND VISITORS. THE NOISE LEVEL IS GENERALLY LOW TO MODERATE.

PSYCHOLOGICAL STRESS:

EMPLOYEE MAY BE FREQUENTLY INTERRUPTED WHILE COMPLETING NORMAL WORKDAY TASKS AND MAYBE REQUIRED TO CHANGE PRIORITIES TO ADDRESS TIME-SENSITIVE REQUESTS. THE POSITION MAYREQUIRE MANAGING MULTIPLE TASKS, MEETING DEADLINES, MAINTAINING ACCURATE RECORDS ANDHANDLING CONFIDENTIAL OR SENSITIVE INFORMATION.

UNUSUAL STRESS:

EMPLOYEE MAY OCCASIONALLY DEAL WITH DIFFICULT CUSTOMERS, VENDORS OR EMPLOYEES. PERIODS OFINCREASED WORKLOAD MAY OCCUR DURING DEADLINES, PAYROLL PROCESSING, BILLING CYCLES,MONTH-END CLOSING, SPECIAL PROJECTS OR OTHER HIGH-VOLUME PERIODS.

WORKING TIME:

HOURS — APPROXIMATELY EIGHT HOURS PER DAYWEEK — APPROXIMATELY 40 HOURS PER WEEK, WITH OCCASIONAL OVERTIME AS NEEDEDLUNCH/BREAKS — ACCORDING TO COMPANY POLICY

STANDING OR SITTING:

SITS WHILE PERFORMING COMPUTER, TELEPHONE AND OTHER ADMINISTRATIVE TASKS APPROXIMATELY80% TO 90% OF THE TIME. STANDS OR WALKS APPROXIMATELY 10% TO 20% OF THE TIME TO FILEDOCUMENTS, OPERATE OFFICE EQUIPMENT, RETRIEVE SUPPLIES, ASSIST CUSTOMERS OR ATTENDMEETINGS. EMPLOYEE MUST BE ABLE TO CHANGE POSITIONS THROUGHOUT THE WORKDAY.

LIFTING OR CARRYING:

MAY OCCASIONALLY BE REQUIRED TO LIFT, CARRY OR MOVE OFFICE SUPPLIES, FILES, PAPER, PACKAGES ORSMALL OFFICE EQUIPMENT WEIGHING UP TO 20 POUNDS. ASSISTANCE OR MATERIAL-HANDLINGEQUIPMENT SHOULD BE USED FOR ITEMS EXCEEDING THE EMPLOYEE’S SAFE LIFTING ABILITY.

PULLING OR PUSHING:

MAY OCCASIONALLY PUSH OR PULL FILE DRAWERS, OFFICE CHAIRS, CARTS, DOORS OR SMALL OFFICEEQUIPMENT. MAY BE REQUIRED TO BEND, STOOP, CROUCH, KNEEL OR REACH ABOVE AND BELOWSHOULDER LEVEL TO RETRIEVE FILES, DOCUMENTS OR OFFICE SUPPLIES.

CLIMBING:

ROUTINE CLIMBING IS NOT REQUIRED. EMPLOYEE MAY OCCASIONALLY USE STAIRS OR A SMALL APPROVEDSTEP STOOL TO ACCESS OFFICE SUPPLIES OR FILES. EMPLOYEE IS NOT EXPECTED TO USE LADDERS ORWORK AT ELEVATED HEIGHTS AS PART OF NORMAL JOB DUTIES.

MANUAL DEXTERITY:

REQUIRES FREQUENT AND REPETITIVE USE OF THE HANDS, FINGERS AND WRISTS FOR TYPING, WRITING,FILING, OPERATING A TELEPHONE, USING A COMPUTER MOUSE, HANDLING DOCUMENTS AND OPERATINGSTANDARD OFFICE EQUIPMENT.

VISION AND HEARING:

REQUIRES THE ABILITY TO READ PRINTED AND ELECTRONIC DOCUMENTS, VIEW A COMPUTER SCREEN,DISTINGUISH DETAILS, COMMUNICATE IN PERSON AND BY TELEPHONE, AND HEAR NORMAL OFFICECONVERSATIONS AND EQUIPMENT SIGNALS.
