NOTE: This is an in-office/in-person role, Monday-Friday in the New York/New Jersey region only.

POSITION SUMMARY
The Regional Office Coordinator provides a wide range of administrative support, organizational assistance, and project management to the Program Director and Program Leads if applicable, in the fast-paced, urgent, high accountability environment of operations The Regional Office Coordinator may supervise the office clerk.

The Office Coordinator maintains a high level of knowledge of all departments’ functions and activities in order to respond to internal and external inquiries and requests for information and departmental support. A variety of duties may be performed, such as:

  • Conduct research in preparation for meetings, phone calls, board reports, and business trips
  • Collect, maintain and submit data for monthly, quarterly, and annual reports
  • Review monthly financials to ensure compliance with operations/contract requirements. Adhere to negotiated annual budget and spending requirements including petty cash and stipend accounts
  • Oversee purchasing and maintain inventory control of supplies
  • Assist in monitoring and managing the physical site to maintain a safe, clean, hazard-free environment



SPECIALIZATIONS
Community integration and engagement, office administration and management, financial oversight, compliance and/or regulatory administration, reporting and data analysis, ORR and ACF policies and procedures
MINIMUM QUALIFICATIONS AND COMPETENCIES
Education /Background:

  • Preferred but not required Associate or Bachelor’s degree from an accredited program/institution
  • 1-3 years of supervisory/administrative experience as an office manager or other administrative duties
    • Preferred – 3 years of supervisory/administrative experience
  • Valid Drivers License

Other Requirements:

  • Communicate effectively in writing and verbally in English and Spanish
  • Maintain computer literacy required to meet the responsibilities of the position
  • Highly proficient in Office programs such as Google Suites, Outlook, Excel, Word, and PowerPoint
