Department Overview

The Ambulatory Access Services (AAS) PAS Coordinator provides operational leadership support to the AAS scheduling staff. The coordinator serves as a senior subject matter expert for referral processing, new patient scheduling, and access workflows.

This role partners with the Manager, Supervisor, Leads, and clinic teams of AAS to support training, quality improvement, operational readiness for workflow or system changes, and consistent communication across specialties. The Coordinator analyzes operational data, identifies workflow gaps, supports staff development through non-disciplinary counseling, and helps stabilize operations during high-volume periods, outages, or process changes. The Coordinator does not provide formal supervision but plays a key role in supporting team performance, improving workflows, and ensuring a consistent patient and provider experience across AAS services.

Function/Duties of Position

Referral Processing & New Patient Scheduling Resource

  • Maintains advanced working knowledge of AAS referral processing workflows and clinic scheduling matrices used to determine appropriate new patient scheduling pathways.
  • Shares expertise and disseminate workflow updates to AAS scheduling teams. Supports staff in interpreting referral requirements, scheduling protocols, and clinic access guidelines.
  • Prepares and maintains documentation related to referral processing workflows and scheduling guidelines. Provides targeted training and workflow guidance for AAS scheduling staff and assists with service observation when requested.
  • Performs quality reviews related to referral processing and scheduling accuracy. Forwards findings to appropriate leadership and ensure corrections are completed and documented.
  • Maintains competency in AAS scheduling and referral workflows and may provide direct operational support during periods of high demand.

Personnel Operations:

  • Coordinates with the employment supervisor for new employee checklists and ensuring required training and system access are completed.
  • In collaboration with the department trainer, provides on the job orientation and department specific training for new personnel.
  • Works with the Leadership to provide input on staff performance trends, workflow challenges, and operational training needs. Provides non- disciplinary coaching and assists staff with problem identification and resolution.
  • Provides operational coverage when necessary to ensure adequate staffing and support departmental service expectations.
  • Communicates performance expectations and PAS policies and procedures. Assists employees with problem identification and resolution.
  • Recommend workflow or operational improvements to department leadership when opportunities are identified.

Administrative Functions:

  • Supports administrative coordination for department operations.
  • Maintains documentation and reference materials related to AAS workflows and operational processes. Assists with maintaining department resources and supplies as needed. Participate in operational improvement initiatives and supports implementation of new workflows or process updates.

Customer Service & Escalation Support:

  • Provide high-quality customer service to patients, referring providers, clinics, and internal partners. This Includes:
  • Prompt, professional written and verbal communication.
  • Support during escalations or complex patient access issues.
  • Flexible participation in phone or referral processing coverage during staffing shortages or high-volume periods
  • Modeling department service standards and professionalism

Other Duties as Assigned by the Department


Required Qualifications
  • Two years of front-line clerical experience in a clinical setting with direct patient contact. Experience must include scheduling of appointments and may require experience obtaining managed care authorizations (dependent on position description).
  • Preference given to candidates with knowledge of OHSU’s PAS policies and procedures, with completed PAS training and core competencies, and with previous PAS experience

Preferred Qualifications
  • Minimum of two years’ experience in OHSU Epic Referral system includes scheduling from referrals.
  • Must have a demonstrable record of reliable attendance, punctuality, and proven successful performance at past and present employers.
  • Must have demonstrated evidence of strong written and verbal communication skills; ability to work independently; willingness to serve as a positive and professional role model.

Additional Details

Hours of work: Monday through Friday, 8:30-5pm.

Work Location: Downtown Portland (Fifth Avenue Building).

Must be able to share office space with other coworkers and able to multi-task in a high-volume environment. Must be able to sit long periods of time, as well as spend 90% of time on telephone and computer usage.
