Triad Financial Services is seeking an enthusiastic, detail-oriented Personal Property Titling Clerk to join our team in Bourbonnais, IL. If you want to be part of a team that helps people reach their dream of home ownership, we’d like to talk with you.

The Personal Property Title Specialist is responsible for preparing, submitting, and resolving title work for personal property loans, including manufactured homes, across multiple states. This role focuses on ensuring accurate titling, proper fee and tax collection, and compliance with state and county requirements. The specialist works closely with internal teams and external agencies to resolve title issues, manage rejections, and ensure timely completion of title records.

Essential Duties and Responsibilities

• Prepare title work to be submitted for processing by the appropriate county/state office (varies by state).

• Provide title support and guidance to internal departments (Underwriting, Closing, Funding), including verifying title fees and sales tax; processing for deceased sellers; and titling for trusts/estates and Power of Attorney transactions. Ensure correct forms are used and correct fees are collected.

• Assemble daily UPS packages to county/state offices for completed title work.

• Scan and file receipts for titles issued.

• Research titles to ensure each loan has a completed title.

• Update Encompass status at “Titling Submitted” and “Titling Completed” levels once title is issued.

• Follow up on titles not received in the office after payoff to lender.

• Answer internal and external calls to the Titling Group extension.

• Sort incoming department mail.

• Resolve/rectify title work rejections after submission.

• Assist dealers, lenders, and investors with missing title reports and email requests; foster strong customer service relationships.

• Manage incoming emails and respond in a timely manner.

• File completed folders in the file room.

• Maintain compliance with department and company policies and procedures, including completing BAI training courses as assigned.

• Train incoming title clerks on completion of title work.

• Attend department meetings.

• Perform additional duties as needed.

Requirements

• Excellent verbal and written communication skills; able to communicate effectively with internal and external customers.

• Ability to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service.

• Strong attention to detail and problem-solving skills.

• Ability to work independently and carry assignments through to completion.

• Ability to type efficiently.

• High school diploma or GED required; associate degree preferred.

• Proficiency with Microsoft Office (Word, Excel, Outlook) and Microsoft Teams; Encompass experience preferred but not required.

• Previous experience working for a DMV or in a dealership titling department is a plus.
