POSITION SUMMARY

The Hiring Support Specialist - ASES performs a wide range of tasks to facilitate the efficient operation of hiring and onboarding new PrimeTime employees. This position handles confidential information and must adhere to strict HIPAA guidelines.

ESSENTIAL FUNCTIONS

RESPONSIBILITIES

  • Provide hiring support as assigned by Recruitment Manager

  • Ensure PrimeTime staff meet Harmonium and ASES requirements

  • Provide support to the Hiring Specialist on screening resumes, interviews, performing reference checks, new hire paperwork, onboarding training, etc.

  • Train new hires on Harmonium and ASES requirements

  • Ensure new hire data is input and information is accurate and current

  • Assist with introductions between new staff and their direct supervisor

  • Work with the Hiring Specialist to ensure hiring best practices are kept up and improved as needed

  • Ensure timely communication via email, text and phone calls

  • Attend hiring events and career fairs as needed

JOB COMPLEXITY

  • Maintain highest quality control, quality assurance and contract compliance

  • Ensure time management skills are utilized and maintaining a strong attention to detail

  • Assist with collecting, recording, updating and processing hiring requirements for all PrimeTime programs

  • Coordinate recruitment efforts including screening, interviews, reference checks, new hire/promotion paperwork, and onboarding

  • Responsible for participating on the Hiring Leads Team which ensures our recruitment and hiring practices are compliant with our Hiring process and focused on agency goals and/or initiatives, as well as supporting all hiring lead team members and agency program service areas in recruitment efforts as needed.

  • Assist with coordinating and attending job fairs

  • Assist with social media recruitment strategies

  • Implement onboarding trainings for new hires

  • Work effectively across all program service areas for Agency wide effective communication and operations

  • Under HR’s direction will participate in preparing and reviewing in any legal related matters

STAFF SUPERVISION

  • No supervisory responsibility is assigned

COMMUNICATION

  • Develop and maintain positive, clear and consistent, timely professional relationships with school sites, candidates, and Harmonium staff

  • Regular and ongoing communication with Hiring Specialist, HR Team, Assistant Program Managers, Program Managers and Site Directors

  • Collaborate with HR Manager, Hiring Specialist and Hiring Leads Team on the Recruitment and Hiring Strategic Plan

AGENCY LEADERSHIP

  • Represent Harmonium in a positive and professional manner

  • Actively participate in PrimeTime management meetings

  • Adhere to Harmonium policies and procedures for the role assigned

DECISION MAKING

  • Limited decision-making authority; any judgments and/or decisions are guided by Harmonium and program policies, contracts and guidelines

MINIMUM COMPETENCIES

EDUCATION & EXPERIENCE

  • Must be 18 years of age

  • Must have 48 completed college units OR pass the District’s Classroom Assistant Proficiency Exam (a basic math and literacy exam)

  • Basic knowledge of ASES regulations and agency standards

  • Minimum 2 years of general office management experience required

  • Minimum 1 year experience in the recruitment field

KNOWLEDGE, SKILLS & ABILITY

  • Excellent oral and written skills

  • Excellent organizational skills and attention to details

  • Ability to use Google Workspace, MS Excel and Word proficiently

  • Ability to both follow directions and work as a team player

  • Ability to act on own personal initiative and judgment

ADDITIONAL REQUIREMENTS UPON HIRE

  • Valid TB results (required every 4 years)

  • Must receive Fingerprint Clearance (paid by Harmonium)

  • Must have reliable transportation to travel through San Diego County; when using personal vehicle, must maintain valid driver’s license and current auto insurance

PHYSICAL REQUIREMENTS

  • Ability to operate computer

  • Frequent repetitive hand use and simple grasping

  • Occasional standing, walking, kneeling, bending, twisting, pushing, pulling, reaching above, and below the shoulder

  • Occasional traveling in San Diego County

  • Ability to lift and carry up to 20 pounds

  • Ability to sit for prolonged periods

  • Work is normally performed in a typical interior/office work environment

  • High energy needed with the ability to balance multiple high-stress tasks

  • No or very limited exposure to physical risk
