How you will contribute to our TEAM:
• Manage customer compliance portals daily, including new customer setups, user access and permissions, compliance status, and troubleshooting.
• Request certificates of insurance (COIs) from brokers and respond promptly to sales staff and customer requests.
• Partner with the Contracts team on new customer vendor agreements.
• Manage the insurance inbox and phone line, routing payment notifications to Accounts Receivable.
• Maintain the master customer list and compliance portal information in Monday.com.
• Lead customer compliance through annual insurance renewals: download and review renewal certificates, upload to customer portals, resolve deficiencies with brokers and customers, and track status to completion.
• Prepare compliance status reports for leadership and distribute updated auto insurance cards and state licensing documentation.
• Cross-train in Subcontractor Compliance, monitoring subcontractor insurance expirations, following up on updated COIs, and supporting the MSA and Sub Help inboxes during high-volume periods.
• Manage or assist with other projects and tasks as assigned by supervisor.
What you bring:
• 2–5 years of administrative, insurance, or compliance experience.
• Experience reviewing and managing certificates of insurance (COIs).
• Experience with customer compliance portals (e.g., Compliance Depot, NetVendor, Vendor Care) preferred.
• Construction industry experience preferred.
• Strong communication and customer service skills with exceptional attention to detail.
• Ability to work independently, troubleshoot issues, and manage multiple portals and deadlines at once.
• Availability to work overtime during insurance renewal season, including a vacation blackout one week before and after September 1.
• Proficient in Microsoft Office (Outlook, Excel, Word), Adobe Acrobat, and DocuSign; experience with Billy, Sage, and Monday.com a plus.
