The Nutrition Department supports programs and partnerships designed to improve access to nutritious food, strengthen nutrition services, and build the infrastructure needed for future Food is Medicine initiatives.
Position Summary
The Data Insights Specialist supports the Nutrition Department by ensuring department data is accurate, organized, accessible, and useful for program management, reporting, forecasting, and decision-making. This position is responsible for data entry and maintenance, data cleaning and reconciliation, dashboard and report development, forecasting, and the design and improvement of department data systems and workflows. The Specialist also supports staff in developing consistent data practices, documenting processes, and using data and technology platforms effectively.
The Data Insights Specialist works under the direction of the Director of Nutrition Programs, with guidance from the Vice President of Nutrition & Food Service. The position has latitude to design and build data tools, dashboards, workflows, and system solutions within established department priorities, with final approval as appropriate.
The ideal candidate is highly organized, detail-oriented, persistent, and comfortable working with incomplete or inconsistent data across multiple systems. They enjoy solving problems and can move easily between technical work, routine data maintenance, and supporting colleagues with different levels of technical experience. They work independently within established direction, use sound judgment, adapt to changing priorities, and know when an issue requires leadership input.
Principal Duties and Responsibilities
Data Management and Quality
· Enter, maintain, clean, reconcile, and validate program, participant, grant, operational, and reporting data across department systems.
· Review data for accuracy, completeness, consistency, and duplication and resolve discrepancies when possible.
· Combine data from multiple sources and maintain master datasets, trackers, reporting files, and other department data resources.
· Import and export data between platforms and prepare data for internal, grant, and external reporting requirements.
· Identify gaps or inconsistencies in data collection and work with staff to improve data quality and documentation.
Dashboards, Reporting, Forecasting, and Analysis
· Build and maintain dashboards, reports, and visualizations that allow department leadership to monitor program activity, outcomes, reach, and key measures.
· Develop reports using tools such as Excel, Power Query, Power BI, Tableau, and other department platforms.
· Translate data from multiple programs and systems into clear, usable information, trends, and forecasts for department leadership.
· Develop and maintain forecasting models using historical and current program, referral, production, distribution, and other relevant data.
· Support program planning, resource allocation, production needs, and operational decisions through data analysis and projections.
· Prepare datasets, summaries, and supporting documentation for grants, program reporting, and leadership needs.
Systems and Technology
· Design and build department data tools, databases, trackers, surveys, dashboards, and workflows under the guidance of department leadership.
· Support setup, testing, implementation, and improvement of new data systems and platforms.
· Assist with integration and alignment of data across department systems.
· Build and maintain surveys and data collection tools using Qualtrics and similar platforms.
· Support learning management systems and other platforms used for department training, education, and program delivery.
· Troubleshoot routine system and reporting issues and coordinate with internal or external resources when additional support is needed.
· Learn new platforms and technologies as department needs evolve and recommend practical improvements to systems and workflows.
· Serve as a departmental resource for responsible AI implementation, helping staff identify appropriate uses, apply established best practices, and incorporate AI tools into department workflows.
· Support development of guidance, resources, and training materials related to effective and appropriate AI use.
Staff Support and Documentation
· Provide practical support to Nutrition Department staff using department data systems and reporting tools.
· Help staff develop and maintain standard operating procedures for data collection, entry, reporting, and system use.
· Create guides, job aids, and other documentation that support consistent use of department systems.
· Train and support staff in using dashboards, databases, surveys, LMS platforms, and other department tools.
· Provide troubleshooting and one-on-one support when staff encounter data or system issues.
Cross-Department Coordination
· Coordinate with other FNEFL departments to obtain database reports, data extracts, and information needed for Nutrition Department reporting.
· Work collaboratively with Operations, Warehouse, Finance, IT, Development, and other teams when systems or data overlap.
· Clarify data definitions, reporting requirements, and source-system information with internal partners.
· Maintain productive working relationships while following established department ownership and approval processes.
Other Responsibilities
· Participate in department meetings, planning activities, and projects related to data, reporting, systems, and program operations.
· Maintain appropriate confidentiality and data security when working with participant, program, employee, partner, or organizational information.
· Perform other related duties as assigned.
Requirements:· Bachelor’s degree in data analytics, information systems, public health, nutrition, business, or a related field, or an equivalent combination of education and exemplary relevant experience.
· Three to five years of progressively complex, hands-on experience working with data, reporting, analytics, systems, or related functions.
· Demonstrated experience cleaning, reconciling, maintaining, and analyzing data from multiple sources, including routine data entry and quality assurance.
· Demonstrated experience developing dashboards, reports, or data visualizations for program or operational use.
· Advanced proficiency with Microsoft Excel, including Power Query or comparable data transformation tools, and experience with Power BI, Tableau, or similar business intelligence platforms.
· Experience working with databases or structured data systems and documenting processes, SOPs, or user guidance.
· Strong analytical, organizational, and problem-solving skills, with excellent attention to detail and the ability to manage multiple priorities and recurring deadlines.
· Ability to learn new systems quickly, work independently within established direction, collaborate effectively across teams, and appropriately handle confidential or sensitive information.
Preferred
· Master’s degree in data analytics, data science, information systems, public health, business analytics, or a related field.
· Experience working in nonprofit, healthcare, public health, social services, food banking, or other mission-driven environments.
· Experience with Qualtrics or comparable survey and data collection platforms.
· Experience supporting or administering learning management systems.
· Experience with forecasting, predictive modeling, or other methods used to project future program or operational needs.
· Experience with data integrations, system implementation, database configuration, or workflow development.
· Experience supporting grant-funded programs, program evaluation, performance reporting, or outcome measurement.

Work Environment
This position primarily works in a professional office environment and requires extensive computer and data-system use. The role involves regular interaction with Nutrition Department staff and coordination with other FNEFL departments, vendors, partners, and system administrators as needed. Work priorities may shift based on reporting deadlines, program needs, grants, system implementations, and other department priorities.
Physical Demands
This position requires extensive computer use and may involve prolonged sitting. As part of FNEFL’s collaborative work environment and emergency response activities, the employee may occasionally assist with departmental or organizational activities involving standing, walking, bending, reaching, pushing, pulling, lifting or carrying supplies, and working in warehouse or outdoor environments where conditions may vary.
