About the Role:

The Front Desk Coordinator plays a pivotal role in ensuring the smooth and efficient operation of the healthcare facility's front office. This position serves as the first point of contact for patients, visitors, and healthcare professionals, providing a welcoming and professional environment. The coordinator manages patient check-ins, appointment scheduling, and communication between patients and medical staff, thereby facilitating seamless patient flow and enhancing overall patient experience. Additionally, the role involves handling administrative tasks such as managing records, processing payments, and coordinating with insurance providers to support clinical operations. Ultimately, the Front Desk Coordinator contributes significantly to the facility’s reputation by delivering exceptional customer service and maintaining organized front desk operations.

Minimum Qualifications:

  • Associate degree or certification in medical administration or healthcare management.
  • Previous experience in a front desk or administrative role, preferably in a healthcare setting.
  • Proficiency with computer systems, including appointment scheduling software and Microsoft Office.
  • Strong communication and interpersonal skills.

Preferred Qualifications:

  • Experience with electronic health record (EHR) systems.
  • Familiarity with insurance verification and billing processes
  • Customer service training or certification.

Responsibilities:

  • Greet and assist patients and visitors promptly and courteously, ensuring a positive first impression.
  • Manage appointment scheduling, cancellations, and rescheduling using electronic health record (EHR) systems.
  • Verify patient information, insurance details, and process necessary documentation accurately.
  • Answer incoming calls, respond to inquiries, and direct calls to appropriate departments or personnel.
  • Maintain patient records confidentiality and ensure compliance with healthcare regulations such as HIPAA.
  • Coordinate with medical staff to communicate patient arrivals and any special needs or requests.
  • Process patient payments, handle billing inquiries, and assist with insurance claim submissions.
  • Participates in agency committee(s) according to CARF Standards
  • Provides assistance with applying for Medicaid Benefits
  • Maintain a clean, organized, and professional front desk area to support efficient operations.
  • Other duties as assigned.

Additionally, confidentiality and attention to detail are critical to maintaining compliance with healthcare regulations and protecting sensitive patient information.
