Payroll Specialist – West Coast Operations
Novvia is seeking a dedicated and detail-oriented Payroll Specialist to join our team and ensure the accurate, timely, and compliant processing of payroll for our West Coast workforce, with a particular focus on California employees. Key Responsibilities:
- Process payroll accurately and on schedule across various pay cycles, including weekly, bi-weekly, semi-monthly, and monthly.
- Review and verify timekeeping data, ensuring correct calculation of regular hours, overtime, and other pay components.
- Ensure compliance with federal, state, and local payroll laws and regulations, with particular attention to California-specific requirements.
- Maintain and update payroll records, including employee information, tax data, and benefit deductions.
- Collaborate with HR and finance teams to resolve payroll discrepancies and respond to employee inquiries.
- Prepare and distribute payroll reports, summaries, and tax filings as required.
- Stay current with payroll legislation and industry best practices to ensure ongoing compliance and process improvements.
Skills and Qualifications:
- Proven experience in payroll processing, preferably within a multi-state environment with a focus on California.
- Strong knowledge of payroll laws, tax regulations, and compliance requirements.
- Proficiency with payroll software and systems; experience with popular platforms such as ADP, Paychex, or equivalent is preferred.
- Excellent attention to detail and organizational skills.
- Ability to work under tight deadlines and handle multiple priorities effectively.
- Strong communication skills and the ability to collaborate with cross-functional teams.
- High level of integrity and confidentiality in handling sensitive employee data.
- Bachelor’s degree in Business, Finance, Human Resources, or related field is preferred.

Requirements:- 2+ years of hands-on payroll processing experience, preferably supporting California employees in a multi-site or multi-state environment.
- Working knowledge of payroll practices, payroll taxes, deductions, wage-and-hour concepts, and payroll reconciliation.
- Experience with a payroll/HRIS system.
- Strong Excel skills, including formulas, sorting/filtering, data validation, and reconciliations.
- Exceptional attention to detail, numerical accuracy, organization, and follow-through.
- Ability to manage confidential employee, compensation, tax, and banking information.
- Strong communication skills and a customer-service mindset.
