This role is designed for a highly organized and proactive professional who will directly support senior leadership while ensuring smooth daily operations across administrative, scheduling, and communication workflows. You will act as a key coordination point for executives, managing calendars, meetings, correspondence, and confidential information with precision and discretion. The position also combines traditional executive support with digital responsibilities, including social media management and client communication. You will work in a fast-paced and dynamic environment where adaptability, initiative, and strong communication skills are essential. Beyond administrative execution, you will contribute to documentation, research, and process organization that support business efficiency. This is a high-trust role where your attention to detail and reliability directly enable leadership effectiveness.
- Manage executive calendars, schedule appointments, confirm meetings, and coordinate daily agendas.
- Handle inbound and outbound communication, including phone calls and emails with clients and stakeholders.
- Prepare, organize, and maintain legal and business documents, including retainers, filings, and correspondence.
- Support administrative operations such as filing, scanning, mailing, ordering supplies, and data entry.
- Conduct research, organize information, and support documentation and word processing tasks.
- Maintain accurate contact databases and ensure up-to-date records across systems.
- Manage social media channels and assist with client engagement and communications.
- Ensure confidentiality of sensitive information while maintaining professional discretion in all interactions.
- Minimum 2 years of experience in an Executive Assistant or similar administrative support role.
- Strong experience in calendar management, email coordination, and administrative workflows.
- Familiarity with social media platforms and basic content or communication management.
- Proficiency in Microsoft Office tools, particularly Word and Excel.
- Strong organizational and multitasking abilities with high attention to detail.
- Excellent communication skills and ability to interact professionally with clients and executives.
- Ability to work independently in a fast-paced environment and maintain punctuality and reliability.
- QuickBooks knowledge is a plus.
- Comfortable managing sensitive and confidential information with discretion.
- Competitive hourly rate of $6–$7 USD per hour.
