Job Description

The Legal Administrative Assistant supports the General Counsel and the legal function of Greene County General Hospital by providing high-level administrative, organizational, and document support. This role requires excellent attention to detail, sound judgment, creative and critical thinking, excellent communication skills, and the ability to independently own projects while also following direction. The position helps ensure efficient legal operations through strong communication, calendar and records management, coordination of meetings and projects, and careful handling of confidential information.

Essential Duties and Responsibilities:

  • Provides direct administrative support to the General Counsel, including managing calendars, scheduling meetings, coordinating travel, and assisting with correspondence.
  • Prepares, formats, proofreads, and distributes legal and administrative documents, presentations, reports, policies, contracts, and meeting materials with a high degree of accuracy and attention to detail.
  • Maintains organized physical and electronic files for contracts, legal matters, board materials, policies, and other sensitive records in accordance with retention and confidentiality requirements.
  • Tracks deadlines, renewals, signatures, follow-up items, and project milestones; demonstrates the ability to own projects from initiation through completion while keeping the General Counsel informed.
  • Exercises creative and critical thinking to identify issues, improve workflows, anticipate needs, and recommend practical administrative solutions while also following established processes and direction.
  • Assists with contract administration by routing agreements for review and signature, maintaining status logs, and supporting follow-up with internal stakeholders and outside parties.
  • Handles confidential and sensitive information with discretion and professionalism, maintaining compliance with applicable privacy, legal, and organizational requirements.
  • Serves as a professional point of contact for internal departments, leadership, board members, outside counsel, regulators, and vendors as directed.
  • Supports special projects, legal operations, and departmental initiatives by gathering information, organizing materials, tracking progress, and ensuring timely completion of assigned tasks.
  • Maintains proficiency in Microsoft Excel and other business systems necessary to support efficient legal and administrative operations.
  • Demonstrates clear ownership of workplace and patient safety.
  • Reports mistakes, near misses, adverse events and quality and safety concerns.
  • Develops and implements safety and quality plans that support exemplary workplace and care practices, while also supporting a culture of safety.
  • Other duties as may be assigned.

Job Requirements

Education: High school diploma or equivalent required. Associate degree or coursework in business administration, legal studies, healthcare administration, or a related field preferred.

Licensure/Certification: Not required. Legal secretary, administrative assistant, or healthcare administration certification preferred.

Experience: Three to five years of experience in an administrative assistant, executive assistant, legal secretary, or similar support role required; experience in a legal, healthcare, or highly regulated environment preferred. Advanced proficiency in Microsoft Office, especially Word, Outlook, Excel, and PowerPoint required. Strong organizational, written, and verbal communication skills required. Demonstrated attention to detail, sound judgment, discretion with confidential information, and the ability to manage multiple priorities. Must be able to think critically and creatively, take ownership of projects, work independently, and follow instructions in a fast-paced environment.

Physical Requirements: Frequent standing, walking and sitting. Ability to reach, stoop, and bend. Frequently lift up to 25 lbs.
