Executive Assistant (CEO/President)
Location: Hybrid (minimum 3 days onsite)
Reports to: CEO/President
Classification: Exempt
Compensation: $65,000 – $75,000 annually + bonus eligible (based on performance and corporate scorecard metrics)
About the Role
At On Tap Credit Union, we’re looking for more than an Executive Assistant—we’re looking for a trusted partner to our CEO.
This role sits at the center of the organization, bringing structure, clarity, and follow-through to the Office of the CEO. You’ll be a key connector across leadership, the Board of Directors, and the broader organization—ensuring priorities stay aligned, communication is polished, and commitments are executed.
Over time, this role is designed to grow into an Executive Business Partner, expanding beyond administrative excellence into strategic support, execution tracking, and organizational alignment.

What You’ll Do
Executive & CEO Support
- Manage and prioritize the CEO’s calendar, communications, and workflow
- Draft correspondence, prepare materials, and conduct research to support decision-making
- Track commitments and ensure timely follow-through across the Executive Team
- Serve as a liaison across internal teams, external partners, and community stakeholders
Board & Governance Support
- Prepare and distribute Board and Committee materials and meeting logistics
- Coordinate Board meetings, retreats, and annual planning sessions
- Maintain Board records, governance documentation, and compliance processes
- Serve as a key point of contact for Board members and support their ongoing needs
Organizational & Operational Support
- Facilitate preparation, documentation, and follow-through for Executive Team meetings to ensure execution of priorities
- Maintain visibility into executive priorities, deadlines, and deliverables—proactively following up to keep work on track
- Support corporate governance through accurate recordkeeping, policy updates, and coordination of regulatory filings
- Manage corporate subscriptions, expenses, and executive-level budgets
Strategic & Special Projects
- Act as an extension of the CEO in driving organizational discipline and execution against strategic priorities
- Maintain a clear, up-to-date pulse on key initiatives ensuring alignment and progress
- Conduct research and analysis to support organizational initiatives
- Assist with cross-functional projects aligned with strategic priorities
- Continuously improves processes that enhance efficiency and execution
What You Bring
- Professional presence with the ability to build trusted relationships at all levels
- Unquestioned integrity, discretion, and sound judgment with confidential matters
- Exceptional attention to detail, organization, and follow-through
- Strong written and verbal communication skills, with the ability to synthesize information clearly and concisely
- Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint), the ability to create polished, executive-ready materials
- Experience leveraging modern productivity tools, including AI-enabled platforms (e.g., Microsoft Copilot), to enhance efficiency, organization, and output quality
- Ability to manage multiple priorities, balance competing demands and meet deadlines
- Agility and composure in a fast-paced, ever-changing environment
- Proactive mindset—anticipates needs and solves problems before they arise
- Business and financial acumen, with an understanding of how executive priorities connect to organizational performance (preferred)
Qualifications
- 5+ years supporting C-level executives
- Experience managing complex calendars and executive priorities
- Prior experience working with a Board of Directors strongly preferred
- Bachelor’s degree preferred (or equivalent experience)
- Strong project management and organizational skills
