Job Summary
The Clinical Application Coordinator (Clinical ESA) serves as the primary liaison between clinical operations and Epic application teams to ensure system design, configuration, and optimization support safe, effective, and efficient patient care. This position partners closely with physicians, advanced practice providers, nursing staff, pharmacy, dental, behavioral health, and operational leaders to evaluate workflows, coordinate system improvements, and support governance decisions. The Clinical ESA plays a critical role in EHR implementation, optimization, content validation, clinical decision support, and ongoing enhancement efforts by translating clinical needs into technology solutions that improve user experience, quality outcomes, and operational performance.
Essential Functions
The following functions are fundamental to the position and are required of all incumbents, with or without reasonable accommodation. These functions define the role and are not an exhaustive list of all duties.
- Analyzes clinical and operational workflows across provider, nursing, pharmacy, dental, behavioral health, and related service areas to identify opportunities for improvement, standardization, and optimization.
- Partners with clinical stakeholders to assess workflow challenges and recommend technology-enabled solutions that improve efficiency, quality, patient safety, and user satisfaction.
- Coordinates clinical optimization initiatives by gathering feedback, evaluating operational impacts, facilitating discussions, and supporting implementation of approved improvements.
- Supports governance decisions by presenting workflow considerations, end-user feedback, operational impacts, and recommended solutions.
- Performs workflow assessments and gap analyses to ensure Epic functionality aligns with organizational goals, regulatory requirements, and best practices.
- Reviews, tests, validates, and supports approval of clinical system content, configuration, decision support tools, documentation workflows, order sets, protocols, and Smart Tools.
- Collaborates with Epic application teams and analysts to communicate clinical requirements, review proposed solutions, and support system configuration and deployment readiness.
- Serves as a liaison between clinical end users and application teams to facilitate communication, issue resolution, enhancement requests, and workflow support.
- Engages physicians, advanced practice providers, nurses, pharmacists, dental providers, behavioral health professionals, and operational leaders to improve system usability and workflow performance.
- Supports provider adoption and change management by communicating workflow changes, system enhancements, and best practice recommendations.
- Participates in EHR implementation, optimization, upgrades, stabilization, go-live activities, testing, workflow validation, and user acceptance processes.
- Tracks enhancement requests, adoption, utilization, and workflow performance measures to identify additional support or optimization needs.
Physical Requirments
- Prolonged periods of sitting, computer use, documentation review, workflow analysis, and meeting participation.
- Frequent use of vision, hearing, speaking, and fine motor skills.
- Occasionally required to stand, walk, bend, reach, and lift materials up to 25 pounds.
- Requires close visual acuity for reviewing workflows, documentation, system content, reports, and testing results.
Required Qualifications
Education
Associate or bachelor’s degree in nursing, Health Sciences, Health Informatics, Healthcare Administration, Public Health, Pharmacy, Behavioral Health, or a related healthcare field required.
Bachelor's degree preferred.
Experience
Minimum of three (3) years of experience in healthcare operations, clinical practice, health informatics, quality improvement, healthcare technology, or workflow improvement.
Experience supporting clinical workflows, EHR optimization, workflow redesign, or healthcare technology initiatives preferred.
Experience with Epic, OCHIN Epic, or other electronic health record systems strongly preferred.
Experience participating in clinical governance, operational improvement, or implementation projects preferred.
Post-secondary education or experience that provides the expertise required to perform the functions of the position effectively may substitute for the degree on a year-for-year basis.

Individuals must have applicable education or experience applying a body of standardized rules, procedures, or operations to perform the full range of standard clerical assignments and resolve recurring problems or to operate and adjust varied equipment for purposes such as performing numerous standardized tests or operations.
