Administrative Assistant - Full Time or Part TimeThe Administrative Assistant is responsible for supporting daily administrative operations and maintaining effective communication between departments and the Corporate Office. Under the supervision of the Executive Director, Center Administrator, or Business Office Manager, the Administrative Assistant performs a variety of clerical, organizational, and operational duties to ensure the efficient functioning of the center. The ideal candidate is highly organized, adaptable, detail-oriented, proficient in Microsoft Office, and able to manage multiple priorities in a fast-paced healthcare environment.
Essential Duties and Responsibilities:Prepare, type, and distribute correspondence, reports, forms, meeting materials, and other administrative documents.
Coordinate and schedule meetings, prepare meeting announcements, maintain attendance records, and distribute meeting minutes.
Answer telephone calls, assist visitors, and provide backup support for reception duties as needed.
Maintain and update policies, procedures, manuals, directories, and department records.
Prepare contracts, signs, and other business documents as directed.
Process incoming and outgoing mail and assist with interdepartmental communications.
Maintain accurate records and perform clerical, data entry, filing, and basic accounting functions.
Support department operations by managing multiple projects, prioritizing tasks, and adapting to changing organizational needs.
Utilize Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, to create reports, spreadsheets, presentations, and correspondence.
Maintain confidentiality of participant, employee, and organizational information in compliance with HIPAA and company policies.
Participate in staff meetings, trainings, quality improvement initiatives, and other organizational activities.
Promote positive relationships with participants, caregivers, staff, and guests while providing excellent customer service.
Perform other duties and special projects as assigned by supervisor.
High School Diploma or GED required.
Current Cardio Pulmonary Resuscitation (CPR) certification required.
Minimal Experience:A minimum of two (2) years of experience as an Administrative Assistant required.
Experience working with the frail or elderly population preferred.
Required Skills:- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Intermediate to advanced computer skills and typing proficiency.
- Strong organizational, communication, and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to manage multiple priorities and meet deadlines.
- Strong attention to detail and problem-solving skills.
- Adaptable and able to work effectively in a fast-paced, changing environment.
