Summary
The Executive Secretary provides high-level administrative support to the Associate Vice President for K–12 Education. This position enables the Associate Vice President to work effectively by managing schedules, coordinating communications, organizing information, and ensuring that priorities and commitments are executed with accuracy and consistency.

This position enables the Associate Vice President to work effectively by managing schedules, coordinating communications, organizing information, and ensuring that priorities and commitments are executed with accuracy and consistency.
Working in close collaboration with the Director of Operations and the department’s senior leadership team, the Executive Secretary ensures the Associate Vice President is well supported while contributing to the efficient coordination of the department’s work.
The successful candidate is an exceptional writer and organizer with a warm, professional demeanor. He or she is highly dependable, exercises sound judgment, and thrives in a fast-paced environment where attention to detail, discretion, and follow-through are essential.
Responsibilities
- Manage the Associate Vice President’s calendar, travel, and daily schedule.
- Draft, edit, proofread, and prepare correspondence, reports, presentations, and other written communications.
- Coordinate meetings by scheduling participants, preparing agendas and materials, recording notes, and tracking follow-up items.
- Organize information, maintain files and records, and ensure documents are accurate and readily accessible.
- Develop and maintain administrative processes that improve efficiency and ensure consistent execution of recurring tasks.
- Track deadlines, priorities, and commitments, helping the Associate Vice President remain focused on strategic work.
- Collaborate closely with the Director of Operations and the department’s other directors to coordinate priorities, share information, and ensure the Associate Vice President’s work is aligned with departmental initiatives.
- Serve as a courteous and professional point of contact for school leaders, educators, donors, colleagues, and other external partners.
- Handle confidential information with discretion and professionalism.
- Provide administrative support for special projects and other initiatives as assigned.
Required Qualifications:
Qualifications:
- Bachelor’s degree or equivalent experience preferred.
- Previous experience supporting senior executives or administrators preferred.
- Excellent writing, editing, and verbal communication skills.
- Exceptional organizational skills and meticulous attention to detail.
- Demonstrated ability to establish and consistently follow effective administrative processes.
- Strong interpersonal skills with a welcoming, service-oriented approach.
- Ability to manage multiple priorities while maintaining accuracy and professionalism.
- Sound judgment and the ability to handle confidential information with discretion.
- Strong computer skills, including proficiency with MacOS, Microsoft Office, and the ability to adapt quickly to new technologies and software platforms.
