Position Summary:

MDpanel is seeking a highly organized and detail-oriented QME Recruitment Coordinator to support the growth of our physician network. This role is responsible for coordinating the physician recruitment process from initial lead through exam registration and onboarding readiness, ensuring candidates remain engaged, documentation is complete, and key milestones are met throughout the recruitment lifecycle.

Reporting to the QME Growth team, the QME Recruitment Coordinator partners closely with Recruiting, Credentialing, Scheduling, and Operations to maintain an organized recruitment pipeline, support physician communications, and ensure a seamless candidate experience. The ideal candidate is proactive, tech-savvy, and thrives in a fast-paced environment where organization and follow-through are essential.

Essential Duties and Responsibilities:

Physician Recruitment Coordination

  • Coordinate physician candidates throughout the recruitment lifecycle, from initial outreach through onboarding readiness.
  • Maintain an accurate recruitment pipeline within Salesforce, ensuring candidate records, activities, and statuses remain current.
  • Monitor candidate progress and proactively identify stalled or at-risk candidates to maintain recruitment momentum.
  • Owns first-response and routing for inbound partner inquiries, maintains pipeline visibility in (rippling / salesforce), and coordinates handoff to the Sales Leader for close.
  • Utilize CRM, productivity, and AI tools to improve workflow efficiency and candidate tracking.

Candidate Readiness & Exam Registration

  • Track physician readiness for upcoming QME examination cycles and monitor key registration milestones.
  • Coordinate exam registration activities, ensuring all deadlines are met and required documentation is complete.
  • Assemble, review, and submit physician registration packets while verifying compliance with applicable requirements.
  • Maintain accurate candidate records, documentation, and registration statuses throughout the exam cycle.
  • Partner with Credentialing and Operations to facilitate a smooth transition from recruitment to physician onboarding.

Scheduling & Cross-Functional Collaboration

  • Coordinate meetings, interviews, onboarding activities, and other recruitment-related scheduling.
  • Collaborate with Recruiting, Credentialing, Scheduling, and other internal teams to ensure seamless candidate handoffs.
  • Communicate upcoming deadlines, next steps, and required actions to physicians and internal stakeholders.
  • Support continuous improvement of recruitment processes and operational workflows.

Reporting & Operational Support

  • Maintain recruitment dashboards, reports, and pipeline metrics to provide leadership with visibility into recruitment activity and candidate progression.
  • Monitor key performance indicators including pipeline health, registration progress, and candidate readiness.
  • Assist with physician recruitment events, conferences, and related logistical coordination as needed.
  • Perform additional projects and operational responsibilities as assigned.

Qualifications and Preferred Skills:

  • High school diploma or equivalent required; Bachelor's degree preferred.
  • 3+ years of experience in recruiting coordination, administrative support, operations, sales support, or a related role.
  • Experience working with CRM platforms such as Salesforce or similar applicant tracking systems.
  • Strong proficiency in Microsoft Office, including Excel.
  • Comfortable learning and utilizing AI and productivity tools to improve efficiency.
  • Exceptional organizational skills with strong attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.

Nice to have:

  • Experience in healthcare, physician recruitment, medical-legal, or workers' compensation environments.
  • Familiarity with California Qualified Medical Evaluator (QME) processes or Department of Workers' Compensation (DWC) requirements.
  • Experience supporting high-volume recruiting or candidate coordination.
  • Experience with Salesforce reporting, dashboards, or pipeline management.
  • Event or conference coordination experience.

Actual compensation may vary depending on factors such as experience, qualifications, skills, location, and internal equity.
