This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a AU RTO Student Administrator based in Australia.
As an AU RTO Student Administrator, you will play an important role in keeping the student administration journey accurate, complete, and compliant. You will manage student records, attendance, competency results, assessment evidence, withdrawals, and work placement documentation. Your attention to detail will help ensure that student files remain accurate and that missing or inconsistent information is identified and resolved quickly. Working across Student Management Systems and Learning Management Systems, you will support trainers and wider teams with reliable administrative coordination. This is a detail-focused role suited to someone who enjoys structured processes, accurate data, and keeping multiple administrative tasks moving on schedule. You will work remotely while supporting an Australian RTO environment and collaborating with stakeholders during Australian business hours.
- Process student attendance records accurately and within required timeframes, ensuring information is complete and correctly recorded.
- Maintain competency records and student results, ensuring updates are accurate and aligned with established administrative procedures.
- Manage student withdrawals in accordance with relevant processes and ensure all associated records are updated appropriately.
- Process assessment evidence submitted by trainers and ensure documentation is accurately captured and maintained.
- Maintain work placement booklets and supporting documentation, ensuring records are complete and up to date.
- Review student files systematically to identify missing, incomplete, inconsistent, or outdated documentation.
- Investigate discrepancies in student records and take appropriate action to resolve issues promptly and accurately.
- Maintain accurate and current student information across relevant Student Management Systems and Learning Management Systems.
- Support trainers and the broader team with day-to-day student administration, documentation, and record-keeping requirements.
- Complete assigned administrative tasks within established deadlines while maintaining a high standard of accuracy.
- Manage an assigned workload independently, prioritizing tasks effectively and ensuring outstanding items are followed through to completion.
- Contribute to a consistent, organized, and reliable student administration process across the supported RTO environment.
- You have at least 2 years of relevant administration experience, ideally gained within an Australian Registered Training Organisation (RTO) environment.
- You have practical experience with Australian RTO administration and understand the importance of accurate student records and documentation.
- You have experience working with Student Management Systems and are comfortable navigating digital platforms to maintain and update records.
- You have experience using Learning Management Systems and supporting education or training administration processes.
- You are comfortable handling high-volume, detail-heavy data entry while maintaining a high level of accuracy and consistency.
- You demonstrate strong attention to detail and naturally identify missing information, inconsistencies, or discrepancies in records.
- You have strong analytical and problem-solving skills and can investigate administrative issues and determine appropriate solutions.
- You communicate clearly and professionally in both written and verbal English when working with trainers, colleagues, and other stakeholders.
- You are highly organized and able to manage multiple administrative priorities while meeting established deadlines.
- You work confidently and independently in a remote environment with limited supervision.
- Experience with VETtrak is highly desirable.
- Experience with Cloud Assess or similar RTO and assessment platforms is an advantage.
- Broader experience working across RTO systems, student administration platforms, or vocational education processes would be beneficial.
