About the Role:
The Legal Administrative Assistant to the General Counsel plays a critical role in supporting the legal department by managing administrative tasks that enable the General Counsel to focus on high-level legal strategy and compliance. This position requires meticulous attention to detail in preparing, organizing, and maintaining legal documents and correspondence. The assistant will coordinate schedules, manage communications, and facilitate the flow of information between the General Counsel and internal or external stakeholders. By ensuring efficient office operations and timely handling of legal matters, this role contributes directly to the smooth functioning of the legal team. Ultimately, the Legal Administrative Assistant helps uphold the integrity and effectiveness of the legal department within the organization.
Minimum Qualifications:
- High school diploma or equivalent; Associate’s degree or higher preferred.
- Minimum of 3 years of experience in a legal administrative or similar support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
Preferred Qualifications:
- Experience working directly with General Counsel or senior legal executives.
- Familiarity with legal terminology, procedures, and document management systems.
- Knowledge of corporate governance and compliance requirements.
- Paralegal certification or coursework is a plus.
- Experience with legal billing software and contract management tools.
Responsibilities:
- Manage and organize the General Counsel’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare, proofread, and format legal documents, correspondence, and reports with a high degree of accuracy.
- Coordinate communication between the General Counsel, internal departments, external counsel, and other stakeholders.
- Maintain and update confidential legal files, records, and databases to ensure compliance and easy retrieval.
- Assist in the preparation and distribution of board materials, legal presentations, and compliance documentation.
- Handle incoming calls, emails, and inquiries directed to the General Counsel’s office promptly and professionally.
- Support the legal team with administrative tasks such as billing, expense reports, and contract tracking.
