Compensation: $1,300 – $1,800 USD/month
We are seeking a highly organized, proactive, and resourceful Operations & Executive Coordinator to support leadership, operations, vendor coordination, website management, and administrative workflows in a fast-paced environment.
This is a highly dynamic role ideal for someone who enjoys keeping operations organized, solving problems independently, coordinating moving pieces, and helping leadership stay focused on high-priority initiatives.
The ideal candidate is detail-oriented, operationally minded, tech-savvy, and comfortable balancing executive support, logistics coordination, vendor research, website updates, and marketing content organization.
This role plays a critical part in helping the company operate efficiently while reducing operational bottlenecks and improving internal organization.
Key ResponsibilitiesExecutive Support- Manage and organize the CEO’s inbox and communications
- Flag high-priority emails and assist with response prioritization
- Coordinate calendars, meetings, reminders, and follow-ups
- Help move projects and action items from pending to completed
- Prepare notes, summaries, and operational follow-ups
- Research and identify vendors nationwide, including:
- Steel suppliers
- Erection crews
- Specialty construction vendors
- Gather and organize vendor information including:
- Contact details
- Pricing
- Service areas
- Availability
- Maintain searchable vendor databases and spreadsheets
- Follow up with vendors to obtain missing information
- Update and maintain product listings in WordPress
- Upload and organize product photos and project images
- Use Adobe Photoshop or similar tools to resize and optimize images for web
- Assist with updating product descriptions and website content
- Help maintain visually organized and accurate product pages
- Organize project photos and video assets from construction builds
- Create simple marketing videos for social media and website use using existing content
- Maintain organized media libraries and digital assets
- Coordinate with leadership regarding marketing priorities and deadlines
- Coordinate deliveries, scheduling, and logistics activities
- Help track materials, shipments, and operational timelines
- Assist with internal reporting and operational administrative tasks
- Support day-to-day operational problem solving and coordination
- Data entry and documentation management
- Organize digital files and internal systems
- Handle recurring administrative tasks
- Provide support wherever needed to help operations run efficiently
- Previous experience in:
- Executive support
- Operations coordination
- Administrative support
- Vendor coordination
- Project coordination
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills in English
- Comfortable researching vendors and making professional outbound calls
- Experience with WordPress website updates
- Experience using Adobe Photoshop, Canva, or similar design tools
- Basic video editing skills for marketing or social media content
- Strong spreadsheet and data organization skills
- Ability to work independently and manage multiple moving priorities
- Resourceful, proactive, and solutions-oriented mindset
- Experience supporting executives or company owners
- Construction, logistics, or vendor management experience
- Strong Excel or Google Sheets skills
- Experience managing operational workflows in fast-paced businesses
- Familiarity with marketing content organization and digital asset management
