POSITION SUMMARY

The Quality Support Specialist provides high level administrative and secretarial support for the hospital's Quality Team. This position is an integral member of the Quality Team and is responsible for preparing meeting agendas and minutes, maintaining the database and tracking systems for policies/procedures and the hospital's event reporting system. This position will also work on special projects.

POSITION REQUIREMENTS
  • Licensure/Certification/Registrations: None
  • Education: Associates degree or equivalent experience required, Bachelor's Degree strongly preferred.
  • Experience: 1-3 years of experience as an administrative assistant required 5-7 years of experience preferred.
  • Skills & Abilities: Excellent organizational skills. Outstanding written and oral communication skills, Ability to work independently but also collaboratively as a member of a team. Ability to organize, prioritize and meet deadlines, while effectively managing multiple projects simultaneously. Ability to successfully handle multiple priorities, prioritize appropriately and manage frequent interruptions. Good problem-solving skills, detail oriented and excellent follow-through. Ability to relate to persons of all ages and diverse backgrounds, skills and abilities. Ability to present self in a personable and professional manner. Must be able to successfully and effectively communicate with a variety of personnel. Ability to deal with diverse and confidential information with discretion and good judgment. Basic proficiency in medical terminology preferred. Must have strong computer skills and be proficient in all Microsoft Office products with advanced experience in Microsoft Word.
ESSENTIAL FUNCTIONS
  • Serve as the primary resource for the hospital's event reporting system including developing reports and creating new forms.
  • Maintain the policy and procedure database, track review dates, ensure policies are reviewed and updated by their owners and ensure policies are routed to the appropriate meetings for approval.
  • Provide secretarial and administrative support to the Quality Team while maintaining a high degree of professionalism and confidentiality. Receive/screen telephone calls while maintaining high level of customer service and professionalism and record/relay messages for the department appropriately.
  • Schedule appointments, manage calendars, and handle all travel arrangements for assigned staff.
  • Interact daily with staff, patients, families, volunteers, donors, other organizations, and the general public and serve as a resource and referral source.
  • Coordinate internal, external meetings/teleconferences/events including scheduling, logistics/arrangements for meetings, gathering/distributing meeting materials, hotel contract/invoices/payments, minutes, evaluations, addressing attendee requests, etc.
  • Responsible for administrative duties for meetings such as maintaining correspondence, minutes, reports, agreements, audiovisual needs and other documents.
  • Assist meeting facilitators with agenda preparation, meeting follow-up, preparing materials for all meetings, arranging for audiovisual needs, and taking minutes at meetings.
  • Assist in resolving administrative issues by preparing reports, analyzing data, and identifying solutions.
  • Assist with typing, designing and preparing information such as general correspondences, memos, charts, tables, graphs, grant applications, publications, presentations, business plans, etc. Proofread copy for spelling, grammar and layout, making appropriate changes.

Salary Range: $21.39 - $29.61
