Job Description
We are seeking a Supply Chain ERP Specialist to own the day-to-day administration, data integrity, and ongoing optimization of Gifthealth’s Acumatica ERP platform. This role is the internal subject matter expert for Acumatica across Supply Chain, Finance, and Operations, ensuring the system runs clean, accurate, and in step with how the business moves. The ERP Specialist will support users across the organization, troubleshoot issues as they arise, build reporting and dashboards that surface actionable data, and lead the continued rollout and improvement of Acumatica workflows. This position plays a key role in enabling Gifthealth’s operational excellence and data-driven decision-making as the company scales.
Key ResponsibilitiesAcumatica Day-to-Day Operations
- Serve as the primary Acumatica system administrator onsite for supply chain functions, including purchasing, inventory, receiving, and fulfillment modules.
- Process and manage purchase orders, receipts, and vendor transactions within Acumatica, ensuring timely and accurate posting to the correct GL accounts and inventory locations.
- Support daily inventory transactions including transfers, adjustments, cycle counts, and reconciliations within Acumatica’s inventory management module.
- Monitor open orders, replenishment alerts, and exception queues in Acumatica, coordinating with the supply chain team to resolve discrepancies before they affect operations.
ERP Data Management
- Create and maintain item master records in Acumatica, including SKUs, descriptions, units of measure, item classes, cost methods, and warehouse locations.
- Set up and maintain vendor profiles in Acumatica, including AP terms, remittance details, compliance documentation, and preferred vendor settings.
- Build and manage Bills of Materials (BOMs) and kits in Acumatica, maintaining revision history and ensuring accurate cost rollups.
- Enforce data governance standards across purchasing, inventory, and fulfillment modules to maintain system-wide accuracy and consistency.
System Optimization and Troubleshooting
- Investigate and resolve Acumatica data discrepancies related to inventory balances, purchase order statuses, cost variances, and vendor records.
- Identify and document inefficiencies in Acumatica workflows; propose and implement improvements including automation using Acumatica’s push notification, generic inquiry, and workflow engine tools.
- Partner with IT and Acumatica administrators to test and deploy system updates, customizations, and new module configurations; maintain documentation of all changes.
- Maintain accurate SOPs and system configuration documentation to support continuity, audits, and onboarding of new users.
Reporting, Analytics, and KPI Development
- Build and maintain Generic Inquiries, pivot tables, and dashboards within Acumatica to track inventory health, supplier performance, PO accuracy, on-time delivery, and other supply chain KPIs.
- Leverage Power BI, Excel, or similar tools to extend Acumatica data into operational and executive-level reports that support procurement strategy and cost optimization.
- Provide leadership with custom Acumatica reports and ad hoc analytics to support operational planning and strategic decisions.
Collaboration and Training
- Serve as the internal Acumatica subject matter expert and first point of contact for ERP-related supply chain questions onsite.
- Develop and deliver Acumatica training for supply chain team members on data entry standards, module workflows, and best practices; maintain training documentation as the system evolves.
- Work closely with Finance to ensure Acumatica inventory valuation, purchasing data, and AP postings align with accounting records and period-close requirements.
- Education: Bachelor’s degree in Supply Chain Management, Business Administration, Information Systems, or a related field; or a high school diploma with 7+ years of hands-on experience in supply chain and logistics.
- Licensure/Certification: Not required. Acumatica certification is a plus.
- Experience: 2 to 4 years of experience working in an ERP system in a supply chain, inventory, or procurement capacity preferred. Direct experience with Acumatica is strongly preferred. Candidates with experience in comparable ERP platforms (e.g., NetSuite, SAP B1, Dynamics 365) will be considered if they demonstrate the ability to learn Acumatica quickly.
- Skills:
- Proficiency navigating Acumatica modules: Purchasing, Inventory, Order Management, and Accounts Payable.
- Ability to build and manage Acumatica Generic Inquiries, pivot tables, dashboards, and report templates.
- Strong analytical skills and proficiency in Excel and Power BI (or similar data visualization tools).
- Detail-oriented with a track record of maintaining data accuracy and driving process improvement.
- Experience troubleshooting ERP issues and collaborating across departments to resolve them quickly.
- Solid understanding of procurement, inventory management, and order fulfillment workflows.
- Familiarity with healthcare, pharmaceutical, or other regulated industry environments (e.g., lot tracking, serialization, expiration date management).
- Understanding of Acumatica’s customization framework, including user-defined fields, business events, and push notifications.
- Experience with ERP data integrations (e.g., connecting Acumatica to WMS, 3PL, or e-commerce platforms via API or middleware).
- Acumatica certification (any module) or completion of Acumatica training courses through the Acumatica Open University.
- Experience building automated reports or scheduled exports within Acumatica or using BI tools connected to an Acumatica data source.
- Location: On-site, Mesa, AZ
- Schedule: Full-time; standard business hours with flexibility for system escalations.
- May require occasional availability outside standard hours for ERP upgrades, data migrations, or critical system issues.
- Regular cross-functional meetings with Supply Chain, Finance, IT, and Operations leadership to ensure alignment.
- Must be able to remain stationary (seated at a workstation) for extended periods while navigating ERP and reporting systems.
- Must be able to lift and move up to 50 lbs as needed when supporting warehouse or packaging operations.
- Must be comfortable working in temperature-controlled environments including ambient, cold, and freezer areas as needed.
