Job Description
Center for Hope and Safety, located in Bergen County NJ, is a non-profit organization dedicated to assisting survivors of domestic violence and their children. We believe every person has the right to be safe, empowered and free from violence.
The Office Coordinator serves as the first point of contact for survivors, community partners, donors, volunteers, and visitors to the Center for Hope and Safety. Provide administrative and operational support through office coordination, communications, scheduling, records management, and general office operations. Ideal candidate will play a key role in creating a welcoming, safe, and trauma-informed environment while supporting the efficient day-to-day operations of the administrative office.
Essential Responsibilities
Office Administration
- Coordinate the daily administrative operations of the office to ensure an organized, efficient, and professional work environment.
- Answer, screen, and route telephone calls, emails, and correspondence in a courteous, responsive, and trauma-informed manner.
- Maintain office supplies, equipment, filing systems, mail distribution, and coordinate repairs and vendor services.
- Prepare correspondence, reports, meeting materials, and maintain electronic and physical records in accordance with agency confidentiality policies.
Reception & Operations
- Welcome survivors, visitors, volunteers, donors, and community partners with professionalism, compassion, and respect.
- Foster a safe, inclusive, and survivor-centered environment while maintaining confidentiality and following agency safety protocols.
- Coordinate meeting schedules, conference room reservations, and prepare meeting spaces for staff, Board, and community events.
- Assist with employee onboarding, workspace preparation, office orientation, and special projects.
- Receive, document, and organize in-kind donations according to agency procedures.
- Maintain a clean, organized, and functional office environment.
Professional Responsibilities
- Maintain strict confidentiality of all survivor, employee, donor, volunteer, and organizational information.
- Demonstrate professionalism, cultural humility, and respect in all interactions.
- Support the Center's commitment to diversity, equity, inclusion, accessibility, and survivor empowerment.
- Perform other duties as assigned to support agency operations and the evolving needs of survivors.
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- Minimum of two (2) years of administrative or office coordination experience preferred
- Experience in nonprofit, social services, healthcare, or human services preferred
- Commitment to trauma-informed, survivor-centered, and culturally responsive practices
Knowledge, Skills & Abilities
- Strong organizational, problem-solving, and interpersonal skills
- Ability to maintain confidentiality and exercise sound judgment
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to prioritize multiple tasks, work independently, and collaborate effectively with a multidisciplinary team
- Ability to build positive working relationships with survivors, staff, volunteers, donors, and community partners
- Flexibility, adaptability, and commitment to the mission and values of the Center for Hope and Safety
Physical Requirements
- Ability to sit, stand, walk, bend, and use standard office equipment for extended periods
- Ability to lift and move office supplies and donations weighing up to 20 pounds
- Ability to perform repetitive keyboard and hand movements
