Requirements:The Executive Assistant provides high-level administrative support to the CEO and Executive Leadership Team (ELT). This role requires a highly organized and trusted professional who exercises discretion, demonstrates strong judgment, and excels in managing multiple priorities in a fast-paced environment.
Key Responsibilities· Manage executive calendars in Outlook, prioritizing requests and resolving scheduling conflicts.
· Handle sensitive and confidential information with the utmost discretion.
· Serve as a liaison between executives and internal/external stakeholders.
· Maintain spreadsheets and reports (e.g., KPIs, goals, budgets) via a modest command of Microsoft Office; Word, Excel, Power Point and Outlook.
· Manage multiple projects simultaneously, ensuring timely follow-through.
· Support the planning and execution of company-wide events, including town halls and offsite meetings.
· Conduct event research (venues, catering, logistics) and assist with budget preparation and coordination of vendors.
· Arrange executive travel, including transportation and accommodation.
· Attend meetings as needed, document discussions, and prepare minutes.
· Review and prioritize incoming communications, summarizing and distributing as appropriate.
· Perform general office management duties.
· Proactively anticipate executive needs and provide support accordingly.
· Perform additional duties as assigned.
Required Skills & Competencies· Strong verbal and written communication skills.
· Excellent organizational skills with high attention to detail.
· Effective time management and ability to meet deadlines.
· Ability to perform well in a fast-paced, high-pressure environment.
· Comprehensive knowledge of office administration and recordkeeping.
· Experienced in Microsoft Office Suite and ability to learn new systems quickly.
Qualifications- 8-10 years of experience supporting executive-level leadership
- Certified Executive Assistant (CEA) preferred
- Bachelor’s degree in business administration or related field preferred
· Up to 10% of domestic travel required to support offsite meetings and events
Work Environment· This is an in-office position located in Knoxville
