Rehab Network Coordinator (Outpatient Physical Therapy / Medical Office Coordinator) at Emerson Hospital – Concord, Massachusetts

We are seeking a highly organized and patient-focused Rehab Network Coordinator to join our growing outpatient rehabilitation team in Westford, MA. This role is perfect for someone who thrives in a fast-paced healthcare environment and is passionate about patient scheduling, care coordination, and delivering exceptional customer service.

As the first point of contact for patients and providers, you will play a critical role in patient access, front desk operations, and clinic workflow efficiency across our rehabilitation network.

• Serve as the primary liaison between patients, providers, and rehabilitation staff
• Manage high-volume inbound and outbound calls with professionalism and efficiency
• Schedule, register, and verify patient information, including insurance and demographics
• Provide a welcoming front desk experience while maintaining efficient patient flow
• Coordinate schedules with physical therapists, occupational therapists, and providers
• Troubleshoot scheduling conflicts and optimize patient access to care
• Support patient follow-up, rescheduling, and provider communication
• Maintain working knowledge of rehab services (PT, OT, specialty programs)
• Utilize EMR systems and healthcare software to ensure accuracy and productivity
• Ensure compliance with HIPAA, patient privacy, and healthcare regulations
• Contribute to a team-oriented, patient-centered clinical environment

• 2–3 years of experience in healthcare, medical office, or high-volume customer service
• Strong patient service mindset with a focus on empathy, professionalism, and efficiency
• Ability to multitask and prioritize in a fast-paced outpatient setting
• Excellent communication and interpersonal skills
• Comfortable managing both front desk responsibilities and phone-based coordination
• Proficiency in Microsoft Office (Word, Outlook)
• Experience with EMR systems (Redox/Redock or similar preferred)

• Associate’s degree or medical administrative certification
• Knowledge of medical terminology and insurance workflows
• Experience in outpatient rehabilitation, physical therapy, or healthcare coordination
