About This Position
Job Purpose: The Executive Assistant will provide high level administrative support to the CEO and President of Lucas Oil, and other assigned leadership staff as needed. The EA will plan and orchestrate work to ensure CEO and President’s priorities are met, organizational goals are achieved, and best practices are upheld.
Duties/Responsibilities:
- Provide high-level administrative support and assistance to the CEO and President of Lucas Oil and/or other assigned leadership staff.
- Manage calendars including proactively resolving any calendar conflict and booking meetings
- Coordinating across senior Lucas Oil leadership to obtain and document leadership agenda meeting items and circulate/keep track of takeaways
- Prepare and handle confidential and personnel information with the utmost trust, interface appropriately with many internal and external clients, and senior executives
- Perform clerical and administrative tasks including drafting letters, memos, reports and other documents.
- Manage, coordinate and arrange travel and travel related activities, including hotel booking, transportation and meal coordination.
- Assist in coordination of professional and personal activities of the President and Vice President
- Perform administrative office support, such as typing, dictation, spreadsheet creation and faxing.
- Use discretion, judgment and knowledge to facilitate CEO/President’s activities, while always maintaining confidentiality.
- Must be available on the weekends and off hours as requested.
- Perform additional duties and run errands as requested by assigned leadership staff.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds.
Required Skills:
- Excellent verbal and written communication skills.
- Exemplary time management skills and the ability to organize and coordinate multiple projects at once.
- Superb attention to detail.
- Discretion and confidentiality.
- Proficient with Microsoft Office with the ability to learn new or updated software.
Education/Licenses/Experience Required:
- Bachelor’s degree required or equivalent work experience.
- At least four years of experience in an administrative role reporting directly to upper management.
