Location: On Site, Brandeis Bardin Campus (BBC) Simi Valley
Pay Range: $28-$32 per hour plus benefits

Position Overview
Under the supervision of the Senior Director of Events, the Sales and Events Coordinator works alongside the hospitality team in achieving revenue goals and providing exceptional hospitality to clients, guests and colleagues. The Sales and Events Coordinator is the first point of contact for incoming venue inquiries, and the are expected to respond in a quick, timely, and professional manner to all. The Sales & Event Coordinator demonstrates excellent time management, self-motivation, kindness, and endeavors to be organizationally savvy with a keen focus on detail.

Strategic Responsibilities

  • Incoming Inquiries: Provides timely response to all incoming phone and email inquiries, maintaining a friendly, positive attitude and a professional demeanor during all interactions. Act as air traffic control to triage inquiries and forwards to internal partners as appropriate.
  • Contract Management: Timely processing of quotes and requests for proposals, partnering with internal stakeholders as needed. Has a strong knowledge and understanding of AJU’s strategy, goals and pricing. Work with customers on event requests and negotiations. Delivers client quotes and prepares details to handoff logistics and hospitality team.
  • Inside and Outside Sales: Identifies new leads while managing prospects and existing client relationships to drive department growth and maximize venue capacity. Conducts market research to identify and target new organizations, schools, and other potential clients for outreach and solicitation. Stays informed of market trends, competitive offerings, pricing, and industry activities to identify opportunities and inform strategies. Collaborates with the Senior Director to develop and execute sales strategies designed to generate new business and expand market reach. Develops and executes an outside sales plan, including in-person visits, drop-ins, outreach, and other business development activities. Strengthens existing client relationships to encourage repeat business, increase event bookings, and foster long-term partnerships. Tracks sales and outreach activities and maintains key performance indicators (KPIs) to evaluate results, identify opportunities, and measure return on time investment.
  • Client Operations: Maintains accurate and organized records of client communications. Manages event management and CRM software to maintain files. Updates records and uploads relevant files, documents, and correspondence as needed. Builds and strengthens existing client relationships to encourage repeat event bookings and long-term partnerships. Schedules and leads client tours, providing a welcoming and informative experience that supports the process. Coordinates daily and weekly interdepartmental communication regarding forthcoming groups, events, and client needs
  • Follow Through: Manages client menus and dietary restrictions (including Kashrut requirements) while maintaining effective communication with kitchen and hospitality team. Conducts post-event thanks and surveys, addresses concerns, and supports a positive client experience. Communicates relevant feedback and trend reportsto the Senior Director. Manages invoices, records payments and finalizes the event with client and accounting.

Qualifications & Experience

  • Minimum of one (1) year in venue sales and coordination.
  • Experience developing and growing relationships with external partners
  • A natural brand ambassador, passionate about the organization and amplifying our impact
  • Strong communication skills, both written and verbal
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong computer skills; proficient in Microsoft Office and database management
  • Knowledge of kosher standards
  • Positive attitude, strong work ethic and passion for hospitality
  • Ability to remain calm and professional under pressure.
  • Must have high attention to detail and sense of urgency.
  • Must be able to maintain predicable and reliable attendance.
  • Must be able to follow health, regulatory and safety regulations to maintain a secure environment.
  • Valid driver's license required (operation of company vehicle to transport between areas of the campus is required for this position).
  • Must be authorized to work in the United States.
  • Must be able to work evenings and on weekends, including holidays.

Physical Requirements & Work Environment

  • The role requires the ability to remain standing or sitting for extended periods of time.
  • Must be able to lift, push, pull and carry objects (25 lbs.), such as catering supplies.
  • Occasional movement throughout campus and to off-site locations may be required.

Compensation

  • Pay Range: $28-$32 per hour plus benefits
