About the Role
The Loan Processing & Intake Specialist is responsible for supporting loan intake, documentation preparation, workflow processing, and operational functions within Loan Processing & Intake to ensure accuracy, efficiency, compliance, and high-quality customer service. This role supports commercial, consumer, and real estate loan workflows by preparing and reviewing documentation, monitoring workflow queues, validating required information, and coordinating operational activities necessary to support timely loan closings and servicing readiness. The Loan Processing & Intake Specialist reports to the VP Loan Processing & Intake and partners closely with AVP Loan Servicing, Loan Services team & Loan Quality Control, lenders, branch teams, credit administration, loan servicing, and operational leadership to support operational consistency and an exceptional customer experience.
Essential Responsibilities

- In addition to other duties as assigned from time to time in SSB&T’s reasonable discretion, your responsibilities include:
- Loan Intake & Workflow Support
- Support loan intake and operational workflows for commercial, consumer, and real estate loan transactions
- Monitor workflow queues, dashboards, and assigned tasks within nCino and related loan origination systems
- Assist with routing, tracking, and processing loan files through intake, documentation preparation, review, and closing workflows
- Ensure required documentation, disclosures, and supporting information are received and maintained within designated systems
- Support operational timelines to ensure loans move efficiently through the approval and closing process
- Documentation Preparation & Review
- Prepare and review loan documentation packages using LaserPro and related systems
- Validate loans are priced according to approved pricing, product/collateral code matrices, borrower structures, and required documentation for accuracy
- Assist with reviewing attorney-prepared and internally prepared loan documents to ensure completeness and compliance
- Verify loan files meet operational and compliance requirements prior to closing approval
- Identify documentation exceptions, discrepancies, or missing information and escalate appropriately
- Operational Support & Quality Assurance
- Ensure operational activities comply with bank policies, procedures, operational standards, and regulatory requirements
- Maintain ownership for the accuracy and completeness of their own loan documentation by performing quality control reviews prior to submission and collaborating with Loan Quality Control Specialist to resolve issues and ensure compliance.
- Assist with operational reporting, tracking logs, exception management, and workflow monitoring
- Maintain accurate system updates and documentation records within operational platforms
- Support audit, examination, and compliance review requests as needed
- Customer Service & Collaboration
- Provide timely and professional support to internal and external customers related to loan operational processes
- Partner closely with AVP Loan Servicing, Loan Servicing team and Loan Quality Control Specialist, lenders, branch teams, credit administration, and operational leadership to resolve operational issues and support loan production
- Assist with resolving documentation or workflow issues in a timely and professional manner
- Maintain strong communication and collaboration across departments to support operational efficiency
- Team & Process Improvement Support
- Participate in cross-training initiatives to support operational continuity and workforce flexibility
- Maintain knowledge of loan operational procedures, systems, and compliance requirements
- Support departmental process improvement initiatives and workflow enhancement efforts
- Assist with special projects and operational initiatives as assigned

Employment Commitments & Physical Requirements
- Non- Exempt
- Full-time; Monday- Friday 8am-5pm
- Community/ volunteer involvement
- Focus-intensive position requiring extended periods of sitting and digital navigation.
- Occasional walking, standing, and use of office equipment.
- Must possess close visual acuity and clear speech for verbal communication.
Location & Travel
- Physical reporting to Operations 2 location
- Travel may be necessary depending on business needs
Candidate Requirements
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- 2–5 years of banking, loan operations, loan documentation, or related financial services experience preferred
- Knowledge of commercial, consumer, and/or real estate loan operational processes preferred
- Experience with LaserPro, nCino, or loan origination systems preferred
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong analytical, problem-solving, and communication skills
- Basic understanding of banking regulations, operational controls, and compliance requirements
- Proficiency in Microsoft Office applications and banking systems
- Ability to pass a criminal background check and any required pre-employment screening (drug testing, fingerprinting for FDIC-insured institutions)
Candidate Preferred Qualifications
- Experience in a community banking environment
- Knowledge of regulatory and compliance requirements related to loan servicing
- Experience within a community banking environment
- Familiarity with loan documentation preparation, servicing readiness, and operational workflows
- Experience supporting operational quality control or exception management processes
