Job Summary
Hillsdale College is seeking a collaborative and process-minded Product Specialist to support the consistent and effective management of projects, processes, and workflows through Monday.com across the College. This position serves as the business-side subject matter expert for the College’s process management and work management practices and platforms, helping establish and govern standards, develop templates and reusable solutions, support user adoption, and ensure departments are using enterprise tools effectively and consistently.
Working closely with the Project Management Office and Continuous Improvement Services, the Product Specialist supports governance of PMO standards and methodologies, assists departments with onboarding and training of process and work management technology tools, maintains process documentation and platform standards, and helps translate business processes and project-management practices into sustainable technology-enabled workflows. The position should recognize when process improvement may be beneficial and partner with Continuous Improvement Analysts when deeper analysis or process redesign is warranted.

Essential Job Duties
  1. The primary function of this role is to serve as the College’s business-side subject matter expert on the College’s new work management software (Monday.com).
    1. Establish, maintain, and help govern standards, conventions, and appropriate-use guidelines for the College’s work management platform (Monday.com).
    2. Gain familiarity and proficiency with any supporting platforms needed to ensure proper integration with Monday.com.
    3. Partner with departments to determine the appropriate use of enterprise process and work management tools and help translate business needs into effective, sustainable configurations.
    4. Assist departments with onboarding new employees and team members into the College’s work management platform, including orientation to departmental workflows, PMO standards, templates, terminology, and expected practices.
    5. Develop and deliver College-wide and department-specific training for work management and process management tools, including new-user, refresher, advanced, and role-specific training as appropriate.
    6. Develop and maintain training materials, onboarding guides, reference materials, documentation, and other enablement resources that support consistent adoption and effective use.
    7. Monitor platform adoption, usage patterns, recurring user needs, and stakeholder feedback and recommend improvements to standards, templates, training, and platform capabilities.
    8. Support the Product Owner in evaluating enhancement requests, prioritizing business needs, and maintaining the roadmap for enterprise process management and work management capabilities.
  2. Maintain standardized PMO templates and configurations within the College’s work management platform, including project structures, intake processes, status reporting, dashboards, portfolio visibility, naming conventions, and other established practices.
    1. Support the governance and ongoing development of PMO standards, methodologies, templates, and best practices, helping ensure project teams and departments apply them consistently, especially in the context of Monday.com
  3. A key secondary function of this role is serving as the College’s business-side subject matter expert on the College’s process management software (Adonis).
    1. Maintain the College’s central process repository and help ensure documented processes are organized, current, consistently modeled, accessible, and appropriately governed.
    2. Recognize potential process improvement opportunities identified through process mapping, documentation, or platform implementation and engage Continuous Improvement Services when deeper analysis or process redesign is warranted.
    3. Partner with Continuous Improvement Analysts to translate improved processes into documented standards, process models, workflows, and technology-enabled solutions that support sustained adoption.
    4. Monitor platform adoption, usage patterns, recurring user needs, and stakeholder feedback and recommend improvements to standards, templates, training, and platform capabilities.
    5. Support the Product Owner in evaluating enhancement requests, prioritizing business needs, and maintaining the roadmap for enterprise process management and work management capabilities.
  4. Coach departments and individual users on effective use of enterprise work management and process management platforms and help teams adopt established standards and best practices.
    1. Review projects or existing departmental workflows for alignment with established standards and provide coaching or recommendations when inconsistencies are identified.
    2. Develop and maintain reusable templates, workflows, forms, dashboards, process models, and other solutions that encourage consistency and reduce duplication across departments.
  5. Serve as a liaison with Information Technology Services when needs involve technical administration, security, access management, integrations, architecture, or technical support.
  6. Contribute to other project and process work as needed.




Required Qualifications:
Education and Experience

A bachelor’s degree in business, Computer Science, Project Management, or another relevant field is strongly preferred. Two to four years of experience in process management, work management, project management, business analysis, operations, or technology enablement is preferred. Experience working with cross-functional teams, supporting enterprise platforms, or translating business needs into practical workflows is highly desirable. An equivalent combination of education and experience sufficient to demonstrate ability to perform the job will be considered.

  • Communicate lessons learned to effectively drive continuous improvement and improve overall program efficiency
Technical Knowledge, Skills, and Abilities
  • Proficiency in the Microsoft Suite (Outlook, Teams, Excel, Word, PowerPoint)
  • Experience with, or ability to quickly become highly proficient in, enterprise work management platforms (especially Monday.com)
  • Experience with, or ability to quickly become highly proficient in, business process management and process mapping platforms (especially Adonis)
  • Ability to configure business workflows, templates, forms, dashboards, views, automations, and other business-side functionality within work management platforms
  • Knowledge of process mapping and business process modeling principles, including documenting current-state and agreed-upon future-state processes
  • Understanding of project management standards and methodologies, PMO governance, continuous improvement fundamentals, and general technology terminology
