Position Summary

This role, under the direction of the Services Director, is responsible for the coordination and execution of the operations of the services department, including startup and commissioning schedules, warranty tracking of costs and issues for resolution, planned maintenance schedules, parts orders and logistics, and planned upgrades to existing facilities. The Business Operations Lead is in charge of overseeing all Services project finances. This position also plays an integral role in identifying new service opportunities and maintaining profitability of the department.

Key Responsibilities
  • Forecast, plan, and allocate internal labor and subcontractor resources for both long-term projects and rapid-response service work to maximize utilization.
  • Collaborate closely with Project Management and Services Director to identify, vet, and mobilize resources required for the seamless Startup and Commissioning of new manufacturing solutions.
  • Develop and manage comprehensive project schedules in conjunction with subcontractors, and vendors, ensuring strict adherence to defined Scopes of Work (SOW) for Services owned projects.
  • Oversee day-to-day field activities, including the direct scheduling of technicians and managing real-time communication between service coordinators and site teams.
  • Serve as the Lead Account Administrator for the Field Service coordination platform (Procore), ensuring data integrity, field adoption, and reporting accuracy.
  • Review project-specific SEA responsibilities to ensure all technical and delivery requirements are met according to contract specifications.
  • Review cost accounting vouchers for all Service jobs, partnering with Finance to ensure project-level profitability.
  • Serve as lead operational lead in providing proactive solutions to departmental challenges to Services Director.
  • Coordinate with Procurement to source mission-critical parts and equipment, balancing lead times, and costs to support field activities and spare parts inventory.
  • Manage the creation, review, and issuance of Purchase Requisition Forms (PRFs) while tracking real-time costs against project budgets.
  • Track and coordinate the end-to-end invoice process for Services jobs to ensure timely revenue recognition and customer billing accuracy.
  • Monitor and track warranty-related costs and claims; identify potential liabilities and operational risks associated with field service activities to mitigate company exposure.
  • Spearhead preparations for ISO 9001 and other regulatory audits; ensure all quality and safety documentation is rigorously maintained and supported.

QualificationsRequired
  • Bachelor’s degree in business administration or technical field.
  • 3 years of experience in construction management or project management of design, fabrication, and maintenance of chilled water systems.
  • Proficiency in Microsoft Office.
  • Excellent client relation skills, a basic understanding of business management, and strong motivational and leadership skills.
Preferred
  • Bachelor’s degree in engineering (mechanical preferred), construction management or equivalent plus three (3) years’ minimum in project management experience.
  • PMP certification
