Job Description
JOB SUMMARY
Under supervision of the Director of Patient Care Services, the staffing coordinator provides administrative support to the acute care clinical teams and is responsible for facilitating staffing needs including schedules, payroll and onboarding. The coordinator will support nursing leadership with other administrative tasks such as taking meeting minutes, chart audits, updating and maintaining logs, and assists nursing leadership in achieving departmental targets and strategic initiatives. The staffing coordinator will support the philosophy and tenets of relationship-based care, and will follow and enforce hospital and nursing service policies and procedures.
PRIMARY JOB RESPONSIBILITIES
1. Works with the nursing leadership team to complete the nursing staff schedule for selected units including but not limited to: approving vacations and paid personal days, assists with coordination of schedules for selected units, posting available shifts, soliciting staff to fill available shifts, looks ahead to ensure appropriate skill mix on each shift and balances the schedule. Prepares the weekly staffing reports.
- Works with the nursing leadership team to track leave of absences, attendance and last minute staffing needs. Supports the leadership team by facilitating the bereavement process as needed. Notifies leadership regarding same shift or next shift emergency staffing needs and helps solicit help as directed. Monitors weekend make up requirements and coordinates those shifts as needed.
- Supports nursing supervision by updating staffing logs and other databases as needed.
- Leverages technology to facilitate staffing and accessibility for staff and leadership. Innovates processes that focus on efficiency utilizing current platforms and resources.
- Executes payroll for departments served bi-weekly.
- Works with the nursing leadership team and talent management team to onboard new hires, provide an orientation schedule and notifying preceptors.
- Supports the nursing leadership team with administrative tasks like taking meeting minutes, chart audits, updating and maintaining logs
- Assists nursing leadership in achieving targets in the areas of quality improvement, patient satisfaction, safety, and strategic initiatives. Develops and participates in department performance and quality improvement projects; gathers statistical data for monitoring quality improvement measures.
- Promotes good working relationships among staff, leaders and between other disciplines and departments. Demonstrates consistency between hospital departments with regards to policy interpretation and process.
- Demonstrates excellent customer service skills, excellent interpersonal skills to foster and maintain positive relationships with staff, ability to effectively manage conflict with positive outcomes, and excellent listening skills.
- Demonstrates job related aspects of patient safety to assure a safe environment, safe and effective use of equipment and technology, and decreased risk of potential adverse patient occurrences.
- Demonstrates knowledge of and supports hospital mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality statements, corporate compliance plan, customer service standards, and the code of ethical behavior.

JOB SPECIFICATIONS
EDUCATION
- High school education
- Performs basic math skills
- Current certification in Basic Life Support (BLS) required
EXPERIENCE
- 1-2 years of computer and clerical experience preferred.
- Proficient typing skills
- Experience in collecting and analyzing data preferred
- Experience in Microsoft Office, Excel, Outlook
ESSENTIAL PHYSICAL ABILITIES/MOTOR SKILLS
- Able to travel independently throughout all Memorial Healthcare facilities.
- Small motor skills required for operating modern computer, office, and telephone equipment as utilized by Memorial Healthcare (MHC).

- Proficiency using modern office, computer and telephone equipment as used by Memorial Healthcare.
