POSITION RESPONSIBILITIES
Responsibilities:
• End to end processing of either the Bi-Weekly or Semi-Monthly payroll.
• Establish and manage the Kronos process. This includes partnering with various department timekeepers and managers to provide best practice based on organizational, contractual and regulatory policies.
• Maintain the pay and work rules based on the various union and organizational policies; pay codes accessibility and usage.
• Assist department timekeeper/managers in maintaining work schedules and time off processing rules.
• Understanding the different Pay Codes, Rounding Rules, Exceptions, Overtime, Shifts, Holidays, and other exception pay codes to provide guidance to all users.
• Based work on EPAF submission of changes, manually updating the system for changes in user access i.e. new managers (internal or external), employee transfers, and FOPAL (account) changes.
• Provides exceptional client support by providing timely response and resolution for timekeeping issues.
• Review data during each workweek and liaise with departments to ensure data accuracy.
• Notify employees and managers of upcoming approval deadlines in accordance with the payroll processing calendar.
• Review timecards for approval and notify managers of non-compliance with established deadline.
• Assign sign off to all approved timecards in preparation for processing.
• Create and process payroll integration files to update labor level changes into Kronos prior to beginning each payroll process.
• Review of data entry in Banner for payroll preparation for deductions related to E-Class changes, hires, and terminations.
• Create integration of final Kronos file for transfer into Banner for processing.
• Oversee accrual process for employees who receive prorated time off allowance.
• Work collectively with the Benefits staff in processing LOA time.
• Train user community on appropriate use and roles within the Kronos system (employee versus approving manager).
• Creating timekeeping related reports and troubleshoot reporting issues.
• Participate in Kronos and Banner testing.
• Support all internal and external audit efforts.
• Prepare ACH file and print Summary Reports for direct deposits and checks.
• Review garnishment files for payment through Accounts Payable.
• Prepare and process manual checks and voids into Banner as needed; maintain log and files for same.
• Assist with the year-end process for W-2 reporting, including running, and analyzing reports and performing any necessary updates.
• Other duties as assigned by Payroll Manager.
QUALIFICATIONS
Experience and Educational Background:
- Bachelor's Degree or certification in a finance related field.
- At least 2 years prior related experience in a payroll department required.
- Prior experience with Kronos is a must.
- Prior experience with Banner is a plus.
Skills and Competencies:
• The successful candidate should possess the ability to work collaboratively multi departmentally and manage numerous projects simultaneously.
• Must be able to work under pressure while managing numerous deadlines and communicate well both verbally and in writing.
• Strong analytical skills, attention to detail, strong verbal and written communication skills are essential.
• Proficiency in Microsoft Office particularly Word and Excel.
• Ability to quickly learn and utilize new systems.
• Demonstrated commitment and track record in implementing continuous improvement techniques and processes.
• Demonstrated outstanding skills in human resources management and service delivery.
• Professional and always adhere to strict pay processing guidelines.
• Ability to research Human Resources Policies and Procedures to answer employee questions regarding Time and Attendance.
Minimum Salary Range:
USD $72,500.00/Yr.
Maximum Salary Range:
USD $75,000.00/Yr.
