Supply Chain Support Specialist
The Supply Chain Support Specialist is responsible for coordinating supplier inbound logistics, scheduling supplier loads, maintaining strong supplier relationships, and ensuring seamless communication between suppliers, dispatch, plant operations, procurement, and leadership teams. This role serves as a critical link in the supply chain by balancing supplier commitments, plant capacity, transportation resources, and operational requirements to ensure uninterrupted product flow and efficient plant operations.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining exceptional communication with both internal and external stakeholders.
Essential Duties and Responsibilities
Supplier Scheduling & Logistics Coordination
- Schedule and coordinate inbound supplier loads to meet plant production requirements.
- Manage all supplier-related load rescheduling activities due to transportation delays, plant capacity constraints, or supplier changes.
- Monitor supplier load status and proactively address scheduling conflicts.
- Coordinate supplier ETAs and communicate updates to relevant stakeholders.
- Ensure supplier deliveries align with plant receiving capacities and operational requirements.
- Participate in a weekly-rotating on-call schedule to answer plant emails (ETAs) and provide potential load rejection support.
Supplier Relationship Management
- Maintain positive and professional relationships with suppliers through consistent communication and support.
- Serve as the primary point of contact for supplier inquiries regarding load scheduling, delivery status, and unloading issues.
- Communicate scheduling changes, delays, and operational updates to suppliers in a timely manner.
- Support supplier documentation requests and obtain missing paperwork as needed.
Plant & Operations Coordination
- Collaborate with Plant Managers to ensure receiving schedules remain within operational capacity.
- Monitor daily inbound load volumes and prevent facility overload situations.
- Coordinate schedule adjustments when plant capacities change or operational disruptions occur.
- Escalate supply interruptions or supplier issues that may impact production or customer commitments.
Dispatch & Transportation Support
- Work closely with dispatch teams to coordinate pickup schedules and transportation resources.
- Communicate scheduling changes and operational updates that impact driver assignments and load planning.
- Assist in resolving missed pickups, delayed drivers, and transportation-related disruptions.
- Support efficient load planning by providing accurate supplier and facility information.
Documentation & Administrative Support
- Retrieve and distribute Certificates of Analysis (COAs) and other supplier documentation as requested.
- Maintain accurate scheduling records and communication logs.
- Support inventory, accounting, procurement, and operations teams with supplier-related information.
- Ensure all supplier documentation requirements are completed and available when needed.
Weekly Scheduling Management
- Lead the weekly supplier scheduling process to align supplier contracts, plant demand, and transportation capacity.
- Balance supplier commitments with production requirements while optimizing plant receiving schedules.
- Identify and resolve scheduling conflicts through collaboration with procurement, operations, and plant leadership.
- Adjust schedules as needed to accommodate changing business demands.
Qualifications
- High school diploma or equivalent required.
- Associate degree in Supply Chain, Logistics, Business, or related field preferred.
- Previous experience in supply chain, logistics, transportation coordination, dispatch, scheduling, customer service, or operations support preferred.
- Experience working with ERP, transportation management, or supply chain software preferred.
- Proficiency in Microsoft Excel and general computer applications.
- Ability to learn and utilize supply chain management systems such as NewBos or similar software.
- Strong written and verbal communication skills.
- Understanding of supply chain and logistics processes.
- Ability to manage high volumes of email communication and scheduling activity.
- Strong organizational and prioritization skills.
- Basic mathematical and analytical abilities.
- Ability to work effectively under pressure and manage changing priorities.
- Strong attention to detail and accuracy.
Working Conditions & Physical Requirements
- Primarily office-based work environment.
- Frequent computer use and telephone communication.
- Ability to remain seated for extended periods.
- Occasional extended hours may be required to support scheduling and operational demands.
- Participate in a weekly-rotating on call schedule to answer emails for the plants and provide support.

The pay range for this role is:
23 - 27 USD per hour(HQ - IP)
