About This Position
Description:
At Peninsula Pediatrics, the Front Desk Receptionist is the first point of contact for patients and visitors, responsible for providing exceptional customer service and ensuring the smooth operation of the front office. This role requires a professional, organized, and empathetic individual with strong communication and administrative skills.
Requirements:- Patient Registration and Scheduling:
- Greet patients and visitors warmly and professionally.
- Register new patients and update existing patient information accurately.
- Schedule and confirm appointments efficiently, managing the daily patient schedule.
- Verify patient demographics, insurance eligibility and benefits.
- Sign up patients for the patient portal.
- Administrative Support:
- Answer phone calls, direct inquiries, manage voicemails and patient messages (Spruce) promptly.
- Follow up on questionnaires (CHADIS) to ensure they are completed prior to the visit.
- Maintain organized patient records, both electronic and physical, ensuring confidentiality.
- Follow up with patients wellness lost patient log.
- Process incoming and outgoing mail and faxes.
- Manage office supplies inventory and place orders as needed.
- Maintain a clean and organized reception area.
- Financial and Billing Support:
- Collect co-pays, deductibles, and outstanding balances from patients.
- Reconcile daily cash and credit card transactions.
- Assist with basic billing inquiries and direct complex issues to the appropriate department.
- Communication and Coordination:
- Liaise with clinical staff to ensure seamless patient flow and communication.
- Communicate delays or changes to patients in a timely and professional manner.
- Handle patient complaints and escalate issues when necessary.
- Compliance and Safety:
- Adhere to all HIPAA regulations and maintain patient confidentiality.
- Follow established office policies and procedures.
- Ensure a safe and welcoming environment for all patients and staff.
- Education: High school diploma or equivalent required.
- Experience: Minimum of 1-2 years of experience in a front desk or administrative role, preferably within a pediatric outpatient office setting.
- Skills:
- Excellent verbal and written communication skills.
- Proficiency in medical office software and electronic health records (EHR) systems.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Exceptional customer service skills and a compassionate demeanor.
- Proficiency in Google Workspace.
- This position primarily operates in a professional office environment.
- May require occasional extended hours to accommodate patient schedules or administrative needs.
- Exposure to various patient conditions and emotions.
