Job description

The JR Dealership Representative is responsible for representing the collision repair facility at the dealership or any location hub that sends referrals. The JR Dealer Liaison is responsible for working alongside with the Estimator in processing files. Customerr/Insurance/Vendor communications and managing assigned tasks, accounts, reconciliation and billing of files. Regular Dealership rotation is required (Saturdays).

Essential Duties include the following:

Assist with and handle incoming phone calls.Assist with and handle filing as requested according to shop rules and filing system.Keep customers updated with their vehicles' status and update the system accordingly.Greet customers and acquire the appropriate information and explain all shop policies.

Properly inspect vehicles and complete prior damage report and ensure all photos are inserted into the system.

Based on the existing damage report sheet, recommend additional repairs if possible.

Call the insurance company and notify them of the vehicle location, confirm coverage and ask for inspection of the vehicle.

Make sure customer removes valuable personal items from the vehicle at the time of arrival and understands that Eli's Auto Center will not be responsible for any lost or missing items left in the vehicle.

Discuss the extent of the damage, the repair methodology and the time estimated to return the vehicle to the customer. Make sure that the customer understands that the final delivery date can only be given when the insurance company approves the repair and the parts are ordered with an ETA. To speed up the process ask customer to call insurance company also

Review all payment policies with the customer.

All necessary signatures must be acquired at all times.

1. Appropriate tear down signatures
2. Appropriate repair bill signatures
3. Appropriate shop policy signatures

Discuss with the customer the need for a rental car and provide it as fast as possible. Confirm daily rental fee and the coverage period. Line match or in other words blueprint the insurance company estimates into our estimating system CCC One.

This will include original and supplemental estimates.

They must be accurate including all labor hours, materials and parts.

Post all invoices and ensure a proper profit percentage is attained with parts and materials.Update customers throughout the repair process.

All updates should occur whenever there is a change to the original assessment.

Post all conversations with insurance companies and customers into the management system.

Learn how to decode, write basic estimates. Provide direct support to the SR Dealership Liaison

1. General clerical and customer service duties: Answering phones, greeting customers, checking in customers, collecting payments, maintaining receipts
2. Moving vehicles
3. Converting sales opportunities captured in the dealership drive
4. Taking pictures of vehicle damage
5. Arranging vehicle tows

QUALIFICATIONS

Minimum Qualifications:

High school diploma or equivalent3+ years of experience in customer service or a related fieldExcellent communication and interpersonal skillsStrong problem-solving and conflict resolution skillsAbility to work independently and as part of a teamProficiency in Microsoft Office and other relevant softwarePreferred Qualifications:

Associate's or Bachelor's degree in a related fieldExperience in the automotive industryValid driver’s license with a clean driving record. Experience in a body shop environment is an advantage.Bilingual
