Position Summary
In partnership with the University Registrar, the Associate Registrar provides leadership, oversight, and operational management for the Office of Records and Registration. This position is responsible for the administration and continuous improvement of core registrar functions, including student registration, academic records management, course scheduling, curriculum systems management, degree audit processes, and institutional data integrity.
The Associate Registrar serves as a key resource for students, faculty, and staff regarding academic policies, procedures, and systems. The role also oversees curriculum technologies and processes related to academic catalog management, curriculum approval workflows, and digital catalog publication.
Essential Duties and Responsibilities
Operational Leadership and Administration
Assist in the planning, coordination, and management of daily operations within the Office of Records and Registration.Ensure the accuracy, integrity, confidentiality, and security of student academic records in compliance with institutional policies and applicable regulations.Monitor operational effectiveness and implement process improvements to enhance service delivery, efficiency, and compliance with best practices.Develop and maintain comprehensive knowledge of university academic policies, curriculum requirements, and institutional procedures.Collaborate with academic and administrative departments to support institutional initiatives and student success.Curriculum and Academic Systems Management
Serve as the institutional lead for Catalog Curriculum administration, including academic catalog maintenance, curriculum workflows, and digital catalog publication.Attend curriculum committee meetings and communicate approved curriculum changes to the university community.Manage institutional requirement trees, degree audit configurations, and related academic systems processes.Assist in the development and maintenance of academic calendars and related registration timelines.Coordinate the processing of undergraduate honors and preparation of corresponding student communications.Student, Faculty, and Staff Support
Provide guidance and support to students, faculty, and staff regarding registration procedures, academic policies, records management, and graduation requirements.Resolve complex registration and records issues with professionalism, accuracy, and sound judgment.Support university-wide communication and training related to registration and academic records processes.Leadership and Supervision
Supervise and support assigned staff members, including onboarding, training, performance management, and professional development.Foster a collaborative, customer-focused, and service-oriented team environment.Establish clear performance expectations and provide ongoing coaching, feedback, and evaluation.Participate in hiring, staffing recommendations, and succession planning initiatives.Managerial Leadership Expectations

Bachelor’s degree required; master’s degree preferred.Minimum of five (5) years of progressively responsible experience in a registrar, records, or enrollment services environment within higher education.Demonstrated supervisory or team leadership experience.Experience with student information systems and academic technologies; Jenzabar EX experience preferred.Experience with Catalog, or comparable catalog and curriculum management systems, preferred.Knowledge of academic records management, registration processes, degree audit systems, and curriculum administration.Understanding of FERPA and other applicable federal and state regulations related to student records and privacy.Strong analytical, organizational, problem-solving, and project management skills.Excellent written, verbal, and interpersonal communication skills.Proficiency in Microsoft Office applications and the ability to leverage technology to improve processes and services.Ability to manage multiple priorities independently in a fast-paced environment while maintaining attention to detail and accuracy.Preferred Qualifications
Experience supporting curriculum governance processes and academic catalog production.Familiarity with data reporting, compliance auditing, and process documentation.Experience leading process improvement or systems implementation initiatives.
