Description:

The Proposal and Pursuit Coordinator manages and drives the development of competitive proposals and supports strategic business development efforts across the organization. This role serves as the central point of accountability for proposal execution, partnering closely with Business Development, Sales Contributors, and Project Managers to deliver high-quality, compelling, and visually engaging client-facing materials.

The ideal candidate is an exceptional writer and editor, highly organized, and a proactive self-starter with a strong eye for design and detail. This individual brings a sales-oriented mindset and the ability to translate technical content into clear, persuasive narratives that differentiate our services.

Proposal Leadership and Coordination
  • Manage the full lifecycle of proposals and pre-qualifications, from opportunity identification through final submission.
  • Partner with Business Development to evaluate opportunities, define pursuit strategies, and lead the development of compliant, compelling submissions aligned with win themes and evaluation criteria.
  • Monitor bid portals and public notifications to proactively identify and qualify new opportunities.
  • Lead and support proposal development efforts, including drafting, editing, formatting, and assembling final deliverables.
  • Translate technical input into clear, concise, and persuasive content tailored to client priorities.
  • Identify and integrate win themes throughout the proposal materials to strengthen positioning and competitiveness.
  • Develop and incorporate infographics, visuals, and layout elements that enhance clarity, readability, and overall impact.
  • Review and refine all proposal content to ensure accuracy, consistency, and alignment with company standards and brand guidelines.
  • Manage proposal schedules, coordinate contributors, and ensure on-time, high-quality submissions under tight deadlines.
  • Provide regular updates to Business Development leadership regarding progress, resource needs, and potential risks.
  • Maintain and continuously improve proposal content libraries, templates, and graphic standards to drive efficiency and consistency.
Pursuit and Sales Support Coordination
  • Partner with Project Managers and technical teams to plan, prioritize, and coordinate resources supporting active pursuits.
  • Coordinate early-stage technical and visual inputs, including general arrangement drawings, renderings, concept-level engineering inputs, and other materials required for client engagement.
  • Identify, engage, and manage subcontractors or external resources to supplement internal capabilities when needed.
  • Support broader business development initiatives by coordinating marketing and technical deliverables aligned with pursuit strategies.
Requirements:
  • Minimum of 5 years of experience in proposal management, business development, or sales support, preferably within consulting or professional services.
  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field is preferred.
  • Demonstrated ability to coordinate cross-functional teams and external partners in support of business development efforts.
  • Strong communication skills with a collaborative, solutions-oriented approach.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced, deadline-driven environment.
  • Strong attention to detail and commitment to producing high-quality work.
  • Proficiency in Microsoft Office and familiarity with CRM tools.
  • Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop) with an emphasis on document layout and visual presentation.

  • Bring a strong blend of writing, editing, and visual communication skills to produce polished, client-ready deliverables.
  • Demonstrate exceptional organization and ownership while managing multiple concurrent pursuits.
  • Apply a sharp eye for layout, graphics, and formatting to elevate the quality and professionalism of proposals.
  • Operate as a proactive self-starter who anticipates needs, solves problems, and drives progress with minimal oversight.
  • Translate complex or technical information into clear, compelling narratives that resonate with clients.
  • Develop a working understanding of maritime terminology, vessel types, and market segments to effectively support technical content.
  • Contribute to continuous improvement of proposal processes, tools, and best practices.

Physical and Mental Demands

This position is primarily performed in a home office environment and generally requires the ability to sit and work at a computer for extended periods, communicate effectively via phone and video conferencing, and occasionally lift or move materials up to 25 pounds. The role may also require repetitive hand and wrist movements associated with typing and computer use.

Salary Range

$75,000 - $95,000 Depending on Experience
