PARAKEET COMMUNITIES, LLC
Title: Executive Assistant to Director of Construction
FLSA Status: Exempt
Reports to: John Clark

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
• Act as the point of contact among executives, employees, clients and other external partners
• Manage information flow in a timely and accurate manner
• Manage executives’ calendars and set up meetings
• Make travel and accommodation arrangements
• Help prepare and reconcile expense reports
• Act as an office manager by keeping up with office supply inventory
• Format information for internal and external communication – memos, emails, presentations, reports
• Take minutes during meetings
• Screen and direct phone calls and distribute correspondence
• Provide personal assistance to senior-level executives on an as-needed basis, including bill payment, file organization, etc.
• Follow up and provide status updates on property-level projects
• Prepare applications and other forms that need to be filed with respective agencies, insurance companies, lenders, and other affiliations
• Organize digital files and folders
• Help maintain website information, social media accounts (if experience applies)
QUALIFICATIONS AND EXPERIENCE
• 3 to 5 years Administrative or Clerical experience
• Proficient in Microsoft Office Suite; Outlook
• Outstanding organizational and time management skills
• Ability to multi-task and prioritize
• Excellent verbal and written communication skills and able to work well with others
• Keen attention to detail
• Good judgment and reasoning ability
• Discretion and confidentiality
• Ability to maintain a professional demeanor at all times
