About This Position
The Administrative Assistant provides essential administrative, customer service, and operational support to ensure the smooth daily functioning of our garment and linen supply business. This role assists management, coordinates office activities, supports order processing, and maintains accurate records for hotel and hospitality clients. The ideal candidate is highly organized, detail-oriented, and fully bilingual in Spanish and English, with strong communication skills and the ability to thrive in a fast-paced environment.
Essential Duties & ResponsibilitiesAdministrative & Office SupportManage daily office operations, including phones, emails, filing, and document preparation.
Maintain organized records for orders, invoices, deliveries, and client accounts.
Assist management with scheduling, reporting, and general administrative tasks.
Prepare and update spreadsheets, logs, and internal documents as needed.
Serve as a primary point of contact for hotel clients and vendors.
Provide bilingual (Spanish/English) support for inquiries, order updates, and service requests.
Communicate delivery schedules, product availability, and order status.
Assist with resolving customer concerns in a professional and timely manner.
Support order entry and processing in coordination with the warehouse and sales team.
Track shipments, deliveries, and returns to ensure accuracy.
Assist with inventory counts, product tracking, and maintaining updated records.
Communicate with drivers and logistics personnel regarding routes and delivery needs.
Assist with preparing quotes, proposals, and client documentation.
Help maintain a clean, organized, and efficient office environment.
Support special projects and operational tasks as assigned.
Fully bilingual in Spanish and English (required).
Previous administrative or office support experience preferred.
Strong communication and customer service skills.
Proficiency with Microsoft Office (Excel, Word, Outlook).
Ability to multitask, prioritize, and work in a fast-paced environment.
Strong attention to detail and organizational skills.
Experience in logistics, distribution, or hospitality supply is a plus.
