POSITION SUMMARY
Envision Education seeks a Director of Operations to lead the day-to-day execution, implementation, and integrity of core school and network operational systems. This role ensures that student data systems, attendance, enrollment, compliance workflows, and site operations run with accuracy, consistency, and timeliness across all schools.
Reporting to the Senior Director of Operations, the Director of Operations translates network strategy into operational practice, supports school-based team members, including Office Managers, with implementation, and ensures compliance-ready systems are maintained at the site level.

KEY RESPONSIBILITIES
Recruitment & Enrollment Systems Management
Leads the execution, systems management, and continuous monitoring of all recruitment and enrollment operations to ensure accurate student data, efficient application and onboarding processes, and achievement of network enrollment targets.
- Manage enrollment timelines, application workflows, lottery processes, and family onboarding systems using platforms such as SchoolMint and PowerSchool Enrollment.
- Monitor daily enrollment progress and data systems to assess performance and adjust recruitment strategies as needed.
- Support school-site recruitment events, registrar functions, and front office enrollment procedures.
- Ensure enrollment data accuracy, documentation compliance, and system integrity across all workflows.
- Develop operational procedures, training materials, and family-facing enrollment communication systems.
- Troubleshoot enrollment systems and coordinate resolution of operational issues across schools and central systems.
Compliance Operations & Reporting Systems Management
Leads and coordinates network-wide compliance operations by managing incoming compliance requests, ensuring timely and accurate completion across functional teams, and maintaining systems, documentation, and reporting processes that support regulatory and operational accountability.
- Manage incoming compliance requests and coordinate completion across functional teams and requestors.
- Lead execution of state reporting requirements, compliance submissions, and related reporting cycles (including CALPADS and other mandated systems).
- Owns annual School Accountability Report Card (SARC) process as part of state reporting cycles, including cross-functional data collection, validation, coordination, and timely submission/publication in compliance with state requirements.
- Maintain organized, audit-ready documentation systems for compliance, reporting, and site visit readiness.
- Ensure operational compliance data is accurate, complete, and consistently maintained across systems and departments.
- Own compliance calendars, submission deadlines, tracking systems, and end-to-end reporting workflows.
- Coordinate collection and synthesis of data and documentation for high-stakes reporting, audits, and compliance reviews.
- Support preparation for audits, site visits, inspections, and data validation processes.
- Track completion of compliance obligations and ensure timely follow-through across teams and stakeholders.
- Escalate compliance risks or gaps and support implementation of corrective actions across operational systems.
- Executes compliance reporting workflows and operational submissions in alignment with governance standards, timelines, and accountability structures established by the Senior Director of Operations.
Student Information Systems & Data Compliance Management
Leads the daily execution, integrity, and compliance of all student information systems and data operations—including enrollment, attendance, registrar functions, meal program eligibility, and state reporting—to ensure accurate, timely, and audit-ready student data across the network.
- Own daily execution and data integrity of core Student Information Systems (SIS), including PowerSchool, SchoolMint, and other enrollment platforms.
- Manage registrar functions, including student entry, exit, records management, and enrollment data workflows.
- Ensure accuracy, consistency, and completeness of student data across enrollment, attendance, and records systems.
- Drive high-stakes student data submissions, including CALPADS and other required state reporting deliverables.
- Maintain data compliance calendars, deadlines, and tracking systems for all SIS-related reporting requirements.
- Collect, organize, and prepare student data and documentation for audits, reporting, and compliance reviews.
- Ensure SIS-related systems and workflows are audit-ready, well-documented, and aligned with regulatory standards.
- Escalates systemic data integrity risks, reporting concerns, and compliance gaps requiring governance-level review or operational redesign.
School Site Operations
School Site Operations Systems & Compliance (Attendance, Meal, Transportation, Safety)Owns the execution of core school site operational systems to ensure accuracy, compliance, consistency, and reliable daily operations across all campuses.
- Execute daily attendance systems, including data entry, reconciliation, reporting, Principal Apportionment readiness, and chronic absenteeism tracking
- Oversee attendance reporting cycles (P-Reports), quality assurance processes, audit documentation, and compliance workflows
- Develop attendance SOPs, tools, and training materials, and train school-site staff on procedures and compliance requirements
- Operate NSLP meal program systems, including FRL eligibility tracking, POS rostering, participation monitoring, and state/federal reporting
- Maintain audit-ready compliance documentation, inspection preparedness, and required site postings
- Coordinate meal vendor communication, troubleshoot service issues, and implement corrective actions and compliance processes
- Develop meal program SOPs and training materials, and support site staff with technical assistance and execution support
- Manage transportation operations including routing, scheduling, logistics coordination, and school-site implementation
- Coordinate transportation vendors, resolve service issues, and monitor service quality and consistency across sites
- Maintain transportation SOPs, compliance documentation, budgeting, and invoice tracking systems
- Support field trip and special event transportation planning, logistics, and family communication systems
- Implement school safety and emergency systems, including safety plans, drills, and emergency preparedness procedures
- Coordinate emergency drills, staff training, incident reporting, and compliance documentation
- Support school-site response during incidents and emergencies, maintaining tracking logs and required records
- Ensure consistent implementation of safety protocols and audit-ready documentation across all campuses.
- Executes site-level operational systems and procedures within network standards, compliance frameworks, and escalation protocols established by the Senior Director of Operations.
- Escalates systemic operational failures, vendor risks, compliance concerns, and recurring implementation gaps requiring network-level review or redesign.
- Lead implementation of network-wide operational systems, policies, and procedures to ensure consistent execution across all school sites.
- Develop and maintain practical tools, templates, and training materials to onboard and support school office staff and principals on daily operational workflows.
- Serve as a primary point of contact for school sites to troubleshoot and resolve day-to-day operational issues, system errors, and workflow bottlenecks.
- Provide ongoing operational support to ensure adoption, consistency, and reliability of systems across all schools.
Ensures financial execution and controls for all operational systems.
- Track operational budgets and monitor variance
- Manage invoices, purchasing workflows, and reimbursements
- Maintain financial documentation for operational systems
- Support forecasting, reporting, and budget adherence
- Implement financial controls and documentation procedures
Ensures reliable execution of all vendor-dependent operational systems.
- Manage day-to-day vendor communication and service coordination
- Troubleshoot vendor issues and service disruptions
- Monitor vendor performance and service quality across sites
- Support vendor onboarding and implementation readiness
- Maintain vendor documentation and operational workflows
- Ensure consistent delivery of contracted services across schools
QUALIFICATIONS

- 5+ years of progressive experience in operations, preferably in education, nonprofit, or mission-driven organizations
- Bachelor’s degree

- Preferred: A certificate or graduate degree in Business, Operations, Organizational Development, or related field, knowledge of Bay Area charter school landscape, experience partnering with charter authorizers, proficiency in PowerSchool, SchoolMint, and/or ParentSquare
LOCATION
San Francisco Bay Area office located in Oakland, with frequent required travel to school sites in Hayward, San Francisco, and Oakland.
WORK ENVIRONMENT
Schools and office work environment with direct involvement in ongoing conversation, background noise, construction, and facilities work.
PHYSICAL DEMANDS
- Prolonged Sitting & Stationary Work: Ability to remain seated at a desk or in a meeting for up to 8 hours daily.
- Keyboarding & Dexterity: Frequent, continuous use of hands and fingers to type on a computer keyboard, operate a mouse, and handle documents.
- Visual Acuity: Ability to read dense printed texts, documents, contracts, and computer screens for extended periods.
- Vocal & Hearing Stamina: Clear verbal communication, including the ability to speak clearly in meetings and on video/phone calls. Requires strong listening skills to comprehend stakeholder input and engage in collaborative projects.
- Physical Mobility: Ability to walk between offices; stand for short periods; occasionally bend, stoop, or lift light boxes (typically up to 10 or 15 pounds) to transport files and other supplies; and safely move furniture and fixtures as needed.
- Travel Endurance: Ability to travel via car or public transit between Support Office, school sites, and off-site meeting locations.
COMPENSATION & BENEFITS
- $110,000 - $130,000 annually, commensurate with experience and qualifications.

If you are offered this position, your final base salary compensation will be determined based on factors such as skills, education, and/or experience. In addition to those factors, Envision Education complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
