Specific Role:

Position Summary

The Administrative Coordinator provides comprehensive administrative and operational support to the Associate People Service Officer while serving as a key resource for multiple departments across Foothills Neurology. This position is responsible for coordinating day-to-day administrative functions, supporting organizational initiatives, and ensuring efficient communication and collaboration among leadership and departmental teams.

The Administrative Coordinator supports Provider Scheduling, Human Resources, Patient Access (Scheduling, Referrals, and Prior Authorizations), Revenue Cycle, Clinical Operations, and other operational departments as assigned. This individual must demonstrate exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced healthcare environment.

Essential Duties and Responsibilities

Executive & Administrative Support

  • Provide high-level administrative support to the Associate People Service Officer and executive leadership.
  • Coordinate calendars, meetings, conference calls, and departmental schedules.
  • Prepare meeting agendas, presentations, minutes, and follow-up action items.
  • Draft, edit, proofread, and distribute professional correspondence, reports, and organizational communications.
  • Coordinate travel arrangements, special events, and leadership meetings as requested.

Operational Support

  • Provide administrative support for Provider Scheduling, Human Resources, Patient Access, Revenue Cycle, Clinical Operations, and other departments.
  • Assist with coordinating cross-functional projects and organizational initiatives.
  • Monitor project timelines and ensure completion of assigned action items.
  • Develop and maintain spreadsheets, reports, dashboards, policies, procedures, and operational documentation.
  • Assist with workflow improvement initiatives and process standardization.

Human Resources Support

  • Assist with onboarding and new hire orientation activities.
  • Maintain employee records while ensuring confidentiality.
  • Coordinate training schedules and maintain education records.
  • Assist with HR correspondence, documentation, and administrative functions.
  • Support employee recognition and engagement initiatives as assigned.

Patient Access & Revenue Cycle Support

  • Assist with provider scheduling coordination.
  • Support referral tracking and prior authorization administrative processes.
  • Assist with revenue cycle administrative functions as assigned.
  • Coordinate communication between clinical and administrative departments to promote efficient patient access.

Compliance & Communication

  • Maintain confidential personnel, patient, and organizational records.
  • Ensure compliance with HIPAA, OSHA, organizational policies, and applicable regulations.
  • Serve as a liaison between leadership, providers, staff, vendors, and external partners.
  • Perform additional administrative and operational duties as assigned.

Minimum Qualifications

Education

  • Associate degree in Business Administration, Healthcare Administration, or a related field required.
  • Bachelor's degree preferred.
  • Equivalent combination of education and healthcare administrative experience may be considered.

Experience

  • One (1) to two (2) years of progressively responsible administrative or operational support experience.
  • Healthcare or physician practice experience preferred.
  • Experience supporting executive leadership and multiple departments strongly preferred.
  • Knowledge of medical terminology, insurance processes, referrals, and prior authorizations is highly desirable.

Knowledge, Skills, and Abilities

  • Advanced proficiency in Microsoft Word, including creation and formatting of reports, policies, procedures, correspondence, and presentations.
  • Proficiency with Microsoft Excel, Outlook, and PowerPoint.
  • Experience with Athenahealth or comparable Electronic Medical Record (EMR) systems preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and project management abilities.
  • Exceptional attention to detail and accuracy.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Ability to prioritize multiple assignments and consistently meet deadlines.
  • Ability to maintain strict confidentiality while exercising sound judgment and professionalism.
  • Ability to work independently and collaboratively within a multidisciplinary healthcare environment.

Physical Requirements

  • Prolonged periods of sitting and computer work.
  • Frequent use of office equipment including computers, printers, telephones, and scanners.
  • Occasional standing, walking, bending, lifting, and carrying up to 20 pounds.
  • Ability to communicate effectively with employees, providers, patients, and external partners.

Hourly Pay

$22.00-$23.50

Starting hourly pay is determined based on education, experience, demonstrated competencies, internal equity, and market conditions.
