Job Description

MISSION:

POSITION SUMMARY:

The Facilities Maintenance Administrator is responsible for oversight of personnel and operations of the maintenance department for all Native American Connections buildings and ground including facility cleaning; health and safety; security; utilities infrastructure; facilities systems; space management; supervision of a staff of skilled and semi-skilled maintenance personnel. The understanding and expertise of building systems is essential to support the property management team. As unique property issues arise, those teams will rely on the Facilities Maintenance Administrator to provide guidance and creative problem-solving.

RESPONSIBILITIES:

· Supervise and manage the maintenance leads, ensuring effective recruitment, training, supervision, and evaluation for a growing organization.

· Implement Maintenance Policy and Procedures to optimize operational efficiency.

· Manage all current maintenance contractors and suppliers to ensure the best overall quality and cost, while also identifying and developing new partnerships to meet evolving business needs.

· Identify and implement strategies to improve performance and reduce costs across facilities.

· Work with the Director(s) to recommend, develop, and implement policies/procedures related to repairs, vendor selection, and bidding concerns.

· Serve as a key liaison between maintenance and Property Management departments, fostering seamless and continuous communications to ensure operational efficiency and quality service delivery to residents, owners, agents and participants.

· Oversight and review of biennial vendor contracts.

· Recommendation of best bid proposals and cost estimates for various NAC maintenance repairs, property needs and construction projects, to Director(s) and Finance for approval.

· Evaluation of vendor bids, ensuring that vendors meet all NAC requirements for licensure and insurance.

· Implement and maintain a preventative maintenance program at all communities to reduce costs and limit liabilities.

· Implement and maintain a list of all approved NAC vendors

· Implement and maintain a system for tracking all NAC fleet vehicles, ensuring timely renewal of tags/licensure, and tracking all maintenance issues and resolutions.

· Implement and maintain inventory of standardized appliances at each housing community.

· Responsible for project management - prepare specifications for major planned projects, negotiate with contractors, inspect work for quality, ensure job is completed 100%, and confirmation final project is in line with approved budget. Act swiftly to address budget variances over the approved budget.

· Participate in new construction change orders.

· Attend all construction punch list walks and track completion.

SUPERVISORY SKILLS:

· Proven ability to supervise a team. Supervisory responsibilities for all assigned maintenance staff include hiring, training, and corrective measures. Determines productivity standards of each staff member and tracks individual performance by monitoring common standards.

· Creates a productive and inclusive work environment where the team is knowledgeable of policy/procedure, best practices and job responsibilities. Makes evident the importance of each role with the team. Prioritize team tasks appropriately.

· Identifies strengths of each team member, actively supports individual career development, acknowledges individual and team accomplishments.

· Responsible for oversight and staff scheduling of on-call rotation. Must be available for on-call emergency calls to provide guidance and instruction on appropriate course of corrective action to remedy immediate situation.

· Evaluate and give directions during maintenance emergency situations to include afterhours response. Communicate situation and solutions to Director of Property Management and Property Manager to ensure prompt resolution.

OTHER RESPONSIBILITIES:

· Follows up as needed on all aspects of maintenance.

· Present a professional, efficient attitude to ensure resident satisfaction.

· Works with Asset Mgmt & Property Management to review asset maintenance programs and recommend procedural and/or operational changes.

· Manage NAC events including logistics, setup, security, and parking.

· Provide written responses in a professional, timely manner.

· Collaborate with various departments on special projects, training, and/or implementations.

· Meets with staff individually and in group meetings to communicate information, company news, directives, and goals are mutually understood. collaborate and receive feedback.

· Ensures that the maintenance department and employees are working towards achieving strategic goals and objectives established by NAC.

· Perform other duties as assigned.

EDUCATIONAL/WORK EXPERIENCE REQUIREMENT:

· Bachelor of Science in engineering, design, construction or related field is preferred.

· Five years of experience in construction/maintenance with a minimum of one year in a specialty building trade as a lead worker or supervisor.

· Possess and maintain a valid Arizona driver license, liability insurance and a dependable vehicle.

SKILLS REQUIREMENT:

· MS Office (Outlook, Word, Excel), One-Site (Real Page), Facilities or similar property management & facilities program proficiency.

· Demonstrate skill in general electrical, plumbing and carpentry repair and maintenance

· Ability to supervise and communicate from the field using a smart phone or mobile device.

· High level of organization and attention to detail.

· Sound judgement and decision-making skills.

· Demonstrate excellent written and oral communication skills.

· Excellent customer service and interpersonal skills with an ability to work effectively with a wide range of people, teams, managers, supervisors, and vendors.

· Demonstrate critical thinking, problem- solving and organizational and time management skills.

· Ability to work cooperatively with others in a team approach.

· Experience in working with the Native American population preferred

PHYSICAL DEMANDS:

· Able to stand, bend or kneel for long periods.

· Able to climb (ladders, etc.).

· Able to lift 60 lbs. or more.

· Able to reach above shoulder height.

· Able to crawl on any type of surface.

· Operate in an outdoor or maintenance shop environment

FAIR LABOR STANDARDS ACT: This position is considered to be Exempt for overtime pay provisions as provided by the Federal Fair Labor Standards Act (FLSA) and any applicable state laws. Non-Exempt employees are entitled to overtime pay for hours worked in excess of forty (40) hours per workweek.
