Area Operations Manager - Behavioral Health

Location: Onsite - North End of WA (Overseeing clinics across Seattle, Bellevue, Everett, Kitsap, Lakewood, Federal Way and Olympia). Semi-regular travel between clinic locations required.

Employment Type: Full-Time, W-2 Employee, Exempt

Base Annual Salary: $80,168.40- $90,000.00 plus bonus potential

Schedule/Hours: Monday-Friday 8:00 AM-5:00 PM with flexibility to meet business needs

Reports To: Regional Manager

The Area Operations Manager is the business leader and responsible for the oversight of their designated area/clinics to foster continued functionality, increased efficiency and growth of clinics. This is an exceptional opportunity for a healthcare operations leader who enjoys coaching teams, driving operational excellence, strengthening referral relationships, and growing a business while making a meaningful impact on patients' lives.

As the operational leader for your assigned territory, you will be responsible for the performance and development of Clinic Coordinators and will be expected to provide occasional coverage for staff (including Coordinators and Technicians), to support the needs of the business and to maintain NeuroStim’s exemplary standard of patient care. The Area Manager will also collaborate with other Area Managers to oversee the identification and engagement of ‘Community Influencers’. As NeuroStim continues to grow, the Area Manager will help to expand the Provider Referral Program, which leverages personal and professional relationships to build NeuroStim’s area of influence.

Area Manager Responsibilities

Clinic Leadership & Operational Performance

  • Lead and develop Clinic Coordinators across the assigned region, providing coaching, accountability, and performance management to support clinic growth and operational excellence.
  • Oversee daily clinic operations to ensure consistent execution of company policies, operational standards, and patient care expectations.
  • Monitor and analyze key performance indicators including patient starts, clinic volume, referrals, conversions, utilization, and Clinic Scorecard metrics to drive continuous improvement.
  • Identify operational trends, barriers, and opportunities, implementing action plans to improve efficiency, productivity, and overall clinic performance.
  • Execute organizational initiatives, process improvements, and operational changes to support scalable growth across the region.

Financial Performance & Business Growth

  • Own the financial performance of the assigned area, driving revenue growth while managing operational expenses and profitability.
  • Develop and execute strategies to increase patient volume, strengthen referral relationships, and expand market presence across all clinics.
  • Collaborate with leadership to identify growth opportunities, advocate for necessary resources, and support strategic growth initiatives.
  • Provide regular business updates highlighting territory performance, growth opportunities, operational risks, and competitive insights.

Team Leadership & Employee Relations

  • Foster a high-performing, patient-centered culture through coaching, mentorship, and ongoing development of Clinic Coordinators.
  • Partner with Human Resources to address employee relations matters, including coaching, investigations, corrective action, performance management, and terminations as appropriate.
  • Support Clinic Coordinators in resolving escalated patient concerns and grievances, partnering with Executive Leadership and the Medical Director when necessary.
  • Ensure communication is maintained cooperatively and professionally with all levels of staff, clients and referral sources. In addition, the Area Manager will communicate openly, honestly, and constructively; treat employees, and patients, and providers with dignity, respect, and courtesy; address concerns and problems regarding communication, trust, and respect, helping to resolve issues and maintain professional relationships.
  • Execute changes to NeuroStim policies and procedures as recommended to improve operations, expenditures, and the overall efficiency of the assigned area.

Clinic Operations, Quality & Compliance

  • Ensure clinics maintain operational readiness, including facility appearance, cleanliness, equipment functionality, inventory management, and supply availability.
  • Partner with the Director of Clinical Operations and IT to maintain EHR functionality, troubleshoot operational issues, and ensure business continuity.
  • Monitor compliance with organizational policies, patient care standards, quality initiatives, and regulatory requirements across all assigned clinics.
  • Ensure consistent delivery of exceptional patient experiences while meeting or exceeding NeuroStim's operational, quality, and patient satisfaction standards.

Other duties as assigned.

Compensation and Benefits

  • Competitive Annual Salary: $80,168.40- $90,000.00
  • Bonus Opportunity up to 5% of annual salary

Requirements:

Area Manager Required Qualifications

  • Bachelor's degree in Healthcare Administration, Business Administration, Healthcare Management, or a related field preferred; equivalent combination of education and experience will be considered.
  • Minimum of 2–3 years of healthcare operations or clinic management experience, with experience overseeing multiple locations or managing high-volume outpatient clinics preferred.
  • Demonstrated success leading, coaching, and developing clinic staff to achieve operational, financial, and patient experience goals.
  • Experience monitoring clinic performance metrics, patient volume, scheduling efficiency, and operational workflows to drive continuous improvement.
  • Strong understanding of clinic operations, including patient scheduling, workflow optimization, inventory management, and facility oversight.
  • Experience supporting financial performance through budget awareness, expense management, and achievement of revenue and productivity goals.
  • Proven ability to build positive relationships with providers, referral sources, patients, and cross-functional teams.
  • Strong problem-solving, organizational, and decision-making skills with the ability to prioritize competing demands in a fast-paced environment.
  • Experience addressing employee performance concerns and partnering with Human Resources on employee relations matters.
  • Proficiency with Electronic Health Record (EHR) systems, Microsoft Office Suite, and operational reporting tools.
  • Knowledge of HIPAA, healthcare compliance requirements, and quality standards.
  • Excellent written and verbal communication skills with the ability to effectively communicate across all levels of the organization.
  • Ability to travel regularly between assigned clinic locations.
  • Valid driver's license, reliable transportation, and the ability to meet company driving requirements.
