We are hiring an HR & Recruiting Coordinator to help keep our hiring pipeline moving, support new hires through a smooth onboarding process, and serve as a reliable point of contact for employees. About the role
The HR & Recruiting Coordinator serves as the day-to-day point of contact for hiring, onboarding, and employee support at Premier Gold Silver and Coin LLC. This role manages the applicant pipeline from application review and initial phone screens through interview coordination and new hire setup. The Coordinator also supports onboarding logistics, employee recordkeeping, benefits administration, and routine HR questions related to company policies and procedures.
This is a hands-on role with real variety. The right person will be comfortable managing multiple priorities, communicating professionally with candidates and employees, and maintaining confidential information with discretion.
Essential Duties and ResponsibilitiesRecruiting and Applicant ManagementMonitor incoming applications across all open positions and active job board postings.Review resumes for minimum qualifications and route qualified applicants to the appropriate hiring manager in a timely manner.Maintain organized records of all applicants, including stage of process, screening notes, and disposition.Conduct 15 - 30-minute initial phone screens for selected candidates to assess basic qualifications, communication skills, salary expectations, and availability.Schedule follow-up interviews between candidates and hiring managers.Keep candidates informed throughout the process and send timely status updates or decline communications as needed.Ensure resumes, applications, and candidate follow-ups do not get lost in the shuffle.Onboarding and New Hire SetupPrepare and distribute offer letters, new hire paperwork, and required federal and state forms, including I-9, W-4, state tax forms, direct deposit forms, and related documents.Initiate and track pre-employment background checks for new hires; ensure results are reviewed and cleared before the start date.Enter new employee information accurately into payroll, HRIS, and related internal systems.Coordinate the creation of company email addresses, system logins, and access credentials with internal IT support or third-party vendors.Coordinate the ordering, preparation, and distribution of initial equipment for new hires, including laptops, phones, supplies, uniforms, or branded materials as applicable.Assign required onboarding training modules and track completion.Help ensure each new hire has a smooth, organized first day and first week.Employee Support and Benefits AdministrationServe as the first point of contact for employee questions regarding the employee handbook, company policies, paid time off, and general HR procedures.Answer routine questions about benefits offerings, enrollment windows, and provider contacts.Escalate complex benefits, policy, or employee relations questions to leadership or the appropriate outside partner, such as the benefits broker.Distribute and collect benefits enrollment paperwork during open enrollment and for new hires.Maintain accurate and confidential employee files in compliance with applicable retention requirements.Compliance and RecordkeepingMaintain confidentiality of all employee and applicant information at all times.Ensure all required new-hire documentation is collected, verified, and properly filed.Support compliance with federal and state employment regulations, including I-9 and E-Verify requirements where applicable.Assist with employment verifications and routine HR reporting.Support HR leadership with administrative projects and process improvements as needed.QualificationsRequiredHigh school diploma or equivalent.1–3 years of experience in an HR, recruiting, administrative, or customer-facing role.Excellent written and verbal communication skills, including a professional and friendly phone presence.Strong organizational skills and attention to detail.Ability to manage multiple candidates, tasks, and deadlines simultaneously without dropping follow-ups.Proficiency with Microsoft Office, including Outlook, Word, and Excel.Comfortable learning new software systems, including applicant tracking, payroll, HRIS, or onboarding platforms.Demonstrated ability to handle confidential information with discretion and good judgment.Reliable, punctual, and able to work fully in-office at the Ottawa, OH location.Successful completion of a pre-employment background check is required as a condition of employment.PreferredAssociate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field.Prior experience with an applicant tracking system, HRIS, or payroll platform.Familiarity with employment law basics, including FLSA, EEO, I-9, ADA, and related HR compliance requirements.Experience coordinating IT setup or onboarding logistics.PHR, SHRM-CP, or similar certification, or current work toward certification.Key CompetenciesOrganization and follow-through: Nothing falls through the cracks.People skills: Comfortable being the friendly, professional first point of contact for candidates, new hires, and employees.Discretion: Handles sensitive and confidential information appropriately.Self-starter mindset: Able to manage a queue, prioritize work, and move tasks forward without constant direction.Adaptability: Willing to wear multiple hats in a small, fast-moving company.Communication: Keeps candidates, managers, and employees informed clearly and professionally.What We OfferHourly pay of $17.00 – $20.00, commensurate with experience.Paid Time Off.Retirement plan.A meaningful role in a growing company where your work directly impacts every new hire.Variety across recruiting, onboarding, employee support, benefits coordination, and HR administration.Direct visibility with leadership and the opportunity to improve HR processes as the company continues to grow.A friendly, in-office team environment in Ottawa, OH.Specific benefit eligibility, accrual rates, and plan details are outlined in the Employee Handbook and benefits enrollment materials.
