Summary
The Receptionist / Office Services Clerk is responsible for providing front desk coverage while supporting the daily operations of the office. This role serves as the first point of contact for visitors, maintains office and breakroom supplies, assists with mail and shipping functions, supports meeting and event setup, and helps ensure the facility remains organized and fully stocked. The ideal candidate is reliable, customer-focused, computer savvy, and enjoys helping others in a fast-paced environment.
Responsibilities
- Provide front desk lobby coverage and serve as the first point of contact for visitors and guests.
- Greet guests, issue visitor badges, and check visitors into the Envoy system.
- Notify employees of guest arrivals.
- Open the office each morning, including turning on lights and ensuring common areas are ready for the workday.
- Monitor coffee stations, breakrooms, refrigerators, and copy areas to ensure supplies remain stocked.
- Stock boardroom and executive refrigerators with water and soft drinks.
- Order and maintain office supplies, coffee supplies, paper products, and breakroom inventory.
- Place orders through approved vendors, including Staples and McLane.
- Sort and distribute incoming mail.
- Process outgoing mail using postage equipment.
- Prepare and ship outgoing UPS packages.
- Assist with lunch-and-learn events and meeting setup, including arranging tables and supplies.
- Stock and maintain vending and beverage machines.
- Monitor facility conditions and communicate building maintenance concerns to management.
- Maintain accurate records and complete administrative tasks as needed.
- Provide exceptional customer service to employees, guests, and vendors.
- Perform other duties as assigned.
Qualifications
- High School Diploma or equivalent required.
- Previous receptionist, front desk, customer service, hospitality, or office support experience preferred.
- Strong customer service skills and a positive, professional attitude.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Ability to work independently and prioritize multiple tasks.
- Proficiency with Microsoft Outlook and Microsoft Word.
- Comfortable learning new software and office systems.
- Reliable attendance and punctuality are essential.
- Ability to interact professionally with employees, visitors, vendors, and management.
- Strong attention to detail and willingness to assist wherever needed.
Physical Requirements
- Ability to stand, walk, bend, kneel, and sit for extended periods.
- Ability to lift, push, pull, or carry items up to 25 pounds.
- Manual dexterity required for operating office equipment and mail-processing machinery.
- Ability to stock supplies and move inventory throughout the facility.
- Ability to read, write, and follow written and verbal instructions.
