Location: San Diego, CA (Eastlake, Miramar, North Island, Point Loma)

Position Type: Part time (16-29 hours/week) or Full time (30-40+ hours/week), hourly.

FLSA Status: Non-exempt

Education Level: High School diploma or equivalent is required.

Summary:

Vighter is recruiting Operating Room (OR) Schedulers to provide patient care support at the Naval Medical Center, San Diego, CA. The Medical Facilities in and around San Diego are rated as a complex medical facility, therefore provides care to Active-Duty Military, Veterans, Veterans and Family members locally and from surrounding states. The Operating Room (OR) Scheduler is responsible for coordinating, scheduling, and managing surgical procedures and operating room resources to ensure the efficient delivery of perioperative services. This position serves as the central point of coordination between surgeons, anesthesia providers, nursing staff, surgical technologists, sterile processing personnel, administrative staff, and patients to optimize operating room utilization and support positive patient outcomes.

The OR Scheduler is responsible for maintaining accurate surgical schedules, coordinating surgical resources, ensuring required documentation is complete, verifying equipment and staffing availability, and facilitating communication among all stakeholders involved in surgical care. The position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced healthcare environment.

Principle Accountabilities:

  • Coordinates surgical procedures while balancing operating room utilization and patient care priorities. Assists patients with scheduling concerns and procedural questions.
  • Coordinates surgical schedules with surgeons, physician assistants, nurse practitioners, anesthesiologists, certified registered nurse anesthetists (CRNAs), and other procedural providers.
  • Maintains and manages daily, weekly, and long-range operating room schedules.
  • Ensures surgical cases are appropriately scheduled based on procedure type, anticipated duration, surgeon availability, anesthesia requirements, and equipment needs.
  • Verifies scheduling information for completeness and accuracy before finalizing surgical bookings.
  • Updates schedules promptly to reflect cancellations, postponements, additions, and changes in surgical plans. Coordinates operating room resources necessary for scheduled surgical procedures.
  • Confirms availability of ORs, surgical equipment, instrumentation, implants, supplies and specialty devices.
  • Collaborates with Sterile Processing Department personnel to ensure required instrument sets and equipment are available and properly prepared.
  • Identifies resource conflicts and develops solutions to minimize operational disruptions.
  • Monitors block utilization and assists leadership with block management initiatives.
  • Communicates scheduling changes and updates to all affected providers. Assists with optimization of OR block utilization.
  • Communicates directly with patients regarding scheduled procedures, arrival times, and preoperative requirements.
  • Coordinates preoperative appointments, laboratory testing, imaging studies, medical clearances, and anesthesia evaluations.
  • Ensures patients receive necessary preoperative instructions and documentation.
  • Maintains a professional, compassionate, and customer-focused approach when interacting with patients and families.

  • Knowledge of regulations (HIPAA/Privacy Act) regarding the confidentiality of patient medical records and information as well as Personally Identifiable Information (PII).
  • Performs other duties that may be assigned from time to time.

Knowledge and Skills:

  • Must have exceptional customer service skills.
  • Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
  • Ability to work in a fast-paced changing environment with limited supervision
  • Excellent organizational, scheduling and prioritization skills.

Education:

  • A high school diploma or equivalent is required.

Qualifications:

• A minimum of two (2) years of Surgical scheduling, medical scheduling, operating room coordination, healthcare administration or perioperative services.

• Exceptional communication skills, both written and verbal.

• Strong team building skills and ability to motivate others.

• Team-player mindset and willingness to collaborate;

Duty Hours / On-call Requirements:

  • Generally speaking, this is a day shift position with some work, mission dependent, at night and on weekends..

Travel:

  • As required to satisfy the contractual obligations. Commuting is non-compensatory. All official travel is government funded.

Physical Requirements:

  • Must be able to stand or sit for more than 8 hours per day.
  • Must be able to use an elevator or walk up & down stairs.
  • Must be able to lift up to 40 pounds and carry up to 10 feet.
  • Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
  • Must be able to read and interpret handwritten and typewritten print.
  • Must be able to communicate by voice and detect sound by ear.
  • Must be able to perform duties in an indoor office or outdoor environment.
  • Must be able to pass a criminal background investigation.
  • Must undergo Urine Drug Screening (UDS).
  • Must be a Citizen of the United States or legally authorized to work in the United States of America.
